Description
Assists SBA Business Development Officers (BDOs) in managing a loan production portfolio by meeting with clients, and collecting financial information, reporting collection Activity, and assisting with collecting loan request information. Acts as a contact person when the BDO is not immediately available and provides direct client service. Expands or deepens client relationships by participating in sales calls as assigned, identifying client needs and making product recommendations and making proper introductions to business partners. May prepare initial term sheets and proposals, commitment letters, order 3rd party reports, and coordinates closings for new loans and modifications with guidance from the BDO. Works closely with the BDO to ensure the risk management of each client relationship is in compliance with policy and procedure, as well as commercial and regulatory guidelines.
Essential Job Responsibilities
1. Assists BDOs in managing existing relationships by performing the following:
a. Collects and tracks all required financial information for the Credit Department to prepare an analysis. Reports collection activity to management in a timely manner.
b. Responds to credit questions, making contact with the client when necessary.
c. Acts as a contact person when the BDO is not immediately available.
d. Becomes familiar with structure of loans in order to answer questions from clients, Credit Analysts, or management.
e. Provides direct service to SBA Portfolio clients on all of their banking needs with respect to deposit, loan and other miscellaneous products and services, including (but not limited to):
i. Answering questions on loans and other accounts, assisting with loan payments and collecting past due loan payments as needed.
ii. Coordinates the processing of advances from lines of credits or multi disbursement credits including preparing and initiating wire transfers.
iii. Working with branches to set up accounts or other services and introducing clients to branch staff.
iv. Researching issues, providing solutions and preparing maintenances.
v. Working with Treasury Management to establish lockboxes, if required.
2. Builds client relationships by identifying client needs, recognizing cross-sell opportunities and communicating to BDO and/or making proper introductions to business partners.
3. Assists in preparing initial term sheets and proposals for new loans and modifications to existing loans with guidance from BDO.
4. Assists in preparing commitment and Reg B letters for new loan requests with guidance from BDO
5. At the request of the BDO or SBA Closing Coordinator, may order 3rd party reports in advance of new loan approval as needed, such as appraisals, environmentals, IRS Transcripts, etc.
6. Coordinates loan and modification closings by performing the following:
a. Assists in the preparation of the required pre-closing documents needed for the in-house loan documentation to begin (e.g., commitment letter, application, Reg B Letter, Good Standing Searches, etc.)
b. Coordinates with the SBA Closing group for ordering 3rd party reports such as Property Reports and flood determination, etc.
c. Coordinates with SBA closing group for completing UCC Search to prepare UCC Summary and works with Secured Credit to order an appraisal (if applicable)
d. Obtains all invoices, descriptions, Serial numbers, etc. if equipment is being purchased.
e. Coordinates loan closings and fundings with all necessary parties, including SBA Closing, BDO, borrower, title companies, counsel, borrower's counsel, and the Wire Room, when applicable.
f. Coordinates with the BDO, client, and SBA Closing Group on collecting and completing all Closing Checklist items.
g. Coordinates necessary internal documents needed for the closing and funding of new loans, i.e., wire instructions, wire form, upload documents, Disbursement Authorization, etc.
h. Communicates with the SBA Closing group to ensure that funding of the loan occurs in a timely fashion and works out any issues that may arise. Checks status of funding and notifies all necessary parties when it has occurred.
i. Works with Serviced Loans and Secured Credit to provide necessary information for closing participations, fully-followed transactions, and real estate transactions.
j. Checks system to ensure that the loan(s) were uploaded properly.
7. Follows proper policies and procedures to authenticate clients for all requests. Verifies identity and ensures that the appropriate authorized individual has submitted the request and has provided supporting documentation to prevent fraud.
8. Works closely with the BDO to ensure the risk management of each client relationship is in compliance with policy and procedure, as well as commercial and regulatory guidelines.
9. Prepares information as needed for committees, including the Criticized Assets Committee and for semi-annual loan reviews.
10. Prepares and maintains accurate records of all client service calls as made and meetings held with present and prospective clients.
11. Collects items requested by Audit pertaining to assigned portfolio. Follows-up on Audit Findings.
12. Other duties as assigned.
Bona Fide Occupational Qualifications
1. Minimum of two (2) years related experience required.
2. Associates degree in a related field or equivalent work experience is required.
3. Excellent MS Word and Excel skills, Customer Service and communication skills, ability to work as a team player and to prioritize work effectively are all required.
4. Knowledge of required financial information and a good understanding of loan structure are required.
5. Strong computer skills with the ability to learn internal systems are required.
