Summary
Performs a variety of administrative tasks to support assigned manager(s), i.e., typing, filing, answering the telephone, faxing, etc. Analyzes problems and performs in-depth research on existing departmental procedures and other aspects of the Executive Management Division's area of responsibility. Compiles data into reports and makes recommendations to the manager. Handles special projects as directed and coordinates with the individuals essential to the assignment. High School diploma or equivalent with an emphasis in business curriculum required; an Associate's Degree in a related field preferred. A minimum of three (3) years' experience in related positions required.
Essential Job Responsibilities
1. Performs a variety of administrative tasks to support the assigned Executive; of which the following are illustrative:
a. Analyzes problems and performs in-depth research on existing departmental procedures, the consequences of changing current procedures, cost effects of new equipment, and other aspects of the Executive's area of responsibility; compiles data into reports and makes recommendations to the manager.
b. Reads correspondence and memos directed to the assigned Executive(s), handling those of a routine nature either by writing or telephoning a response or re-directing matters to proper parties to expedite handling.
c. Reviews the status of projects and activities under the Executive's authority; maintains a tickler file in order to follow up and assure timely completion.
d. Responds to problems directed to the Executive(s), following through to bring the matter to a satisfactory conclusion, or passes information gathered to the Executive (s) for further action.
e. Prepares preliminary work on various future projects.
f. Performs various administrative tasks, i.e., typing, filing, faxing, answering the telephone, scheduling and maintaining the Executive(s) appointment calendars, etc.
g. Receives and screens telephone calls; refers the call to the appropriate department as necessary.
h. Receives and screens individuals (visitors/customers) and directs them to appropriate personnel as necessary.
i. Prepares various reports required for meetings of the Board of Directors and other staff meetings as assigned.
j. Maintains current knowledge of bank products and their benefits; identifies and suggests these products and services to customers as opportunities arise; refers customer to proper person and department as necessary.
k. Handles special projects as directed, coordinating with the individuals essential to the assignment.

5. Responsible for adherence to all internal policies, procedures, and practices in support of risk management, anti-money laundering and terrorism financing detection, information security and overall safety and soundness.
6. Assumes responsibility for assisting in his/her professional development; adheres to the guidelines and targets established within his/her Personal Scorecard.
7. Coordinates specific work tasks with other personnel within the unit or department as well as with other units and departments in order to insure the smooth and efficient flow of information.
8. Complies with established budgets and operates within budgetary constraints.
9. Other job-related duties as assigned or directed.
Bona Fide Occupational Qualifications
1. High School diploma or equivalent with an emphasis in business curriculum required; an Associates Degree in a related field preferred. A minimum of three (3) years' experience in related positions required.
2. Proficient typing skills; ability to operate word processing equipment or sufficient knowledge to use word processing software; knowledge of various office machines including PC applications, including Lotus and Power Point.
3. Proficient reading, writing, and grammar skills; proficient analytical and mathematical skills; proficient communicative and interpersonal relations skills.
4. Ability to comply with established budgets and operate within budgetary constraints.
