Description
We are seeking a dynamic and highly organized Executive Assistant to serve as the first point of contact for our executives while providing high-level administrative support to senior management. This position requires exceptional communication skills, discretion, and the ability to manage multiple priorities, which include:
- Provide comprehensive administrative support to senior executives and their teams, ensuring effective management of time, prioritization and discretion.
- Coordinate office and administrative duties, including generating and distributing routine reports.
- Assist in the preparation, proofreading and editing of documents, meeting binders, presentations, and other correspondences for department and executive management.
- Act as a first point of contact for our executives by greeting visitors with professionalism and warmth.
- Maintain phone messages, facilitate conference calls, disseminate general information, and provide assistance with applicable questions to callers.
- Coordinate office and administrative duties, including answering calls, processing invoices, creating/submitting expense reports, ordering office supplies and preparing conference rooms for use.
- Organize meetings, appointments and travel arrangements, ensuring all arrangements align with the participant's schedule and preferences.
- Maintain the department filing system, both electronic and paper, ensuring compliance with company policies and procedures.
- Proactively anticipate needs, build relationships, demonstrate sound judgement and maintain a productive and positive environment for the executive and their team.
- Special projects as assigned.
Requirements
The successful candidate will meet the following qualifications:
- High school degree or equivalent is required; associate degree preferred.
- 3 or more years of experience in an administrative support role is preferred.
- Proficient with Microsoft Office software skills.
- Experience supporting senior executives or leadership teams in a corporate environment.
- Professional attitude and demeanor.
- Must have excellent written and verbal communication skills, with the ability to interact professionally with a variety of stakeholders.
- Ability to handle confidential information with discretion and sound judgement.
- Ability to work independently with minimal supervision.
- Able to prioritize for self and others, as well as managing internal and external customers.
- Able to handle diverse workload using strong organization skills to meet deadlines.
- Flexible and available to assist anyone in the department with needs.
