Description

The Licensing Specialist II maintains complex, variable-cost business licenses and related processes, including operating licenses and gross receipts calculations. This role researches, prepares, files, processes, and remits applications and payments to comply with jurisdictional rules and regulations, including beer, wine, and tobacco licenses. The position also supports tax database integrity through audits, statewide reviews, and recommendations for process improvement.

Job Responsibility
• Audit & Payment Review (50%):
Audit assigned business and operational license payments, personal property tax, and real estate tax payments submitted by Licensing Specialist I for accuracy within appropriate tax systems, based on historical and/or third-party data.
• Complex License Processing & Compliance (30%):
Maintain license compliance by researching, coordinating, preparing, processing, and remitting assigned license applications and payments for complex renewals, including monthly, quarterly, semi-annual, and annual payments based on prior period gross receipts, inventory, and category-specific sales. Post adjustments to the general ledger as necessary for payments made via electronic means, including ACH, EFT, and credit card payments.
• Tax Database Maintenance & Issue Resolution (10%):
Assist with maintaining tax databases to account for all licensing jurisdictions, applications, and payments by researching and resolving tax notices and issues related to complex licenses and payment types.
• Audits, Projects & Special Assignments (10%):
Complete annual licensing audits to ensure state and local compliance and assist with special projects and other assignments as directed.

Job Qualifications
• Strong organizational, planning, and proactive prioritization skills to meet stringent deadlines.
• Proficiency with word processing, spreadsheet, and database applications.
• Effective verbal and written communication skills.
• Ability to interact with government jurisdictions and internal departments to obtain information and make sound decisions.
• Ability to utilize negotiation skills to find common ground and achieve beneficial outcomes.
• Ability to work independently, collaboratively, and in ambiguous situations to solve challenges.
• Ability to review data, identify critical decision points, and communicate challenges effectively.

Education/Experience
• Associate degree or equivalent preferred.
• One to three years of licensing experience required.
• Demonstrated ability to manage multiple priorities in a fast-paced environment.
• Basic knowledge of general office accounting preferred.
