Job Details

General Summary:

The Procurement Specialist partners with the Procurement Managers and category stakeholders on e-enabled strategic procurement process and execution. Stakeholders may include (but not limited to) senior leadership, spend owners, category managers, buyers, suppliers, etc. The Procurement Specialist is also responsible for coordinating with suppliers on the procurement processes. The Procurement Specialist supports the  Procurement Team, as needed,  in executing the negotiated agreements by providing  project support, such as (but not limited to) supplier research, purchase order issuance, invoice audit for recovery, inventory management and compliance enforcement.


Duties & Responsibilities:

Procurement Administration

  • Process and execute Non-Disclosure Agreements
  • Process and validate Supplier samples
  • Maintain the Procurement Supplier Database
  • Maintain the Procurement Contract Database
  • Performs monthly invoice auditing
  • Add and verify Suppliers in RFPs/P2P system
  • Coordinates all aspects of supply ordering for general use supplies, print and other expense/capital items as needed
  • Compiles and maintains information and records to prepare purchase orders, and reviews or processes invoices
  • Issue purchase orders
  • Monitors inventory levels and field ordering habits
  • Tracks and researches orders, ensuring timely fulfillment

Sourcing Project Execution

  • With direction from the Procurement Managers, supports the processes and infrastructure necessary to  achieve best-in-class  procurement practices (as needed) including:
    • RFP and Auction Programming
    • Supplier Search, Outreach, Training, and Documentation
    • Internal User Training and Documentation
    • Set up vendor and item information in P2P system
  • Develop category-specific supplier communication plan to support the execution of the procurement strategy, and conduct supplier orientation and training on the procurement process
  • Design and build the optimal bid structure within an auction to ensure consistency with key success requirements and execute request for proposals, auctions and practice auctions as needed
  • Validate final bids and generate and distribute Request for Proposals and auction reports
  • Post analysis of negotiated data to develop recommendation and next steps
  • Support the implementation recommendation for categories, where appropriate


  • Strong analytical and problem solving skills
  • Contract management experience
  • Strong communication, interpersonal and consultant-type skills in managing various internal stakeholders, cultural dynamics and effectively interfacing with multiple levels within the organization
  • Proficient understanding of Internet technology
  • Must have ability to work in fast-paced environment and be highly adaptable to change
  • Ability to think “outside the box” and be an entrepreneurial self-starter
  • Ability to accomplish multiple tasks simultaneously, with the ability to prioritize
  • Ability to be a team player and be customer service driven

Work Experience and/or Education:

  • Bachelor's degree in Business or Accounting
  • A minimum of 3 years of relevant professional experience may be substituted for the degree
  • Up to 2 years e-procurement experience
  • Demonstrated project management skills (specifically in managing multiple projects)
  • Proficient in Microsoft Office: Word, Excel, Outlook, PowerPoint
  • Knowledge of Ariba and Coupa systems a plus
