POSITION SUMMARY:
This is a temporary position that provides coverage and support for the Dental Clinic Operations Specialist (DCOS) and the Dental Clinic Office Professional ensuring comprehensive operational support for the Delta College Dental Hygiene Clinic and the Health and Wellness Division. This role is critical to student success, patient care, clinic compliance, and operational efficiency. The position follows CODA (Commission on Dental Accreditation) compliance, facilitates dental hygiene and assisting students' clinical requirements, manages patient interactions, maintains HIPAA and OSHA compliance, oversees dental equipment maintenance, and provides clerical and administrative support to the Health and Wellness Division.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:
Dental Clinic Operations:
Students:
- Assist in coordination of the needs of 60+ students, which may include dental software training, patient scheduling, program requirements, and clinic protocol adherence.
- Assist in training for students, faculty, and staff on dental software, scheduling systems, and clinic policies.
- Open and close the dental clinic, ensuring compliance with infection control, radiology, and sterilization protocols.
- Assist students in community outreach projects by preparing necessary materials and supplies.
- Assist in maintaining and providing documentation of patient treatment for accreditation self-study and site visits.
Communication:
- Assist in communication between students, patients, faculty, and external dental professionals.
- Clearly explain policies, procedures, scheduling, and treatment expectations to students and patients.
- Assist in conflict resolution and problem-solving support to students and patients.
- Ensure compliance with HIPAA, FERPA, and CODA Accreditation Standards in all communications.
- Assist in monitoring and enforcing clinic protocols, and addressing violations with faculty and program coordinators.
Patient Coordination:
- Communicate with patients regarding appointments, procedures, policies, and payments.
- Assist in tracking patient treatment phases, document communication, while ensuring proper handling of dental records.
- Facilitate communication with external dental providers for comprehensive patient care.
- Assist in ensuring strict adherence to HIPAA regulations and infection control protocols.
- Respond as a team member in medical emergencies and assist in patient recruitment efforts.
Budget & Inventory Management:
- Assist in maintaining clinic inventory and budget, ensuring supplies and materials are ordered in a timely manner.
- Assist in tracking expenses and providing financial documentation for accreditation reports.
- Assist in scheduling and coordinating dental clinic repairs and maintenance.
- Assist in patient billing, collection of fees, processing payments, and reconciling financial records.
Equipment Maintenance & Repairs:
- Assist in ensuring proper functioning of 20 dental units, 6 radiology rooms, simulation lab units, and sterilization equipment.
- Assist in troubleshooting and coordination of equipment and software repairs with vendors.
- Assist in training faculty and staff on minor equipment troubleshooting and maintenance.
- Assist in maintaining repair logs and records to comply with accreditation standards.
Health & Wellness Division Support:
Technological Support:
- Utilize Word, Excel, PowerPoint, and Access for documentation, scheduling, and reporting.
- Assist in management of student and faculty data.
- Assist faculty with course materials, test preparation, and accreditation documentation.
Office Management:
- Assist in ordering and maintaining office supplies using the college-approved system.
- Assist in operating and troubleshooting office equipment (printers, photocopiers, faxes, and computers).
- Assist in maintaining electronic and physical filing systems for clinic and division records.
Communication & Informational Resource:
- Assist as a point of contact for faculty, students, and the public.
- Assist in addressing inquiries related to policies, procedures, scheduling, and clinic operations.
- Assist with organizing divisional events, such as wellness programs, pinning ceremonies, and accreditation site visits.
Faculty Support:
- Assist in providing confidential clerical and administrative support to full-time and part-time faculty.
- Assist in coordination of faculty requests for classroom materials, scheduling, and equipment needs.
- Assist with division-wide initiatives and faculty-led student programs
- 3+ years of relevant dental office experience.
- Strong organizational, communication, and problem-solving skills.
- Proficiency in dental clinic software and electronic health records.
- Familiarity with HIPAA and OSHA regulations.
