Description

The Edmonton Police Service (EPS) requires a highly skilled administrative professional to fulfill a unique and challenging position. This position will provide administrative support to the Divisional Management Team of the Emergency Communications and Operations Management Branch (ECOMB) and supervise the Emergency Communications Centre (ECC) Admin Support Unit within ECOMB. The successful candidate will be responsible for: 

  • Providing direct administrative support to the Divisional Management Team (DMT) of the Emergency Communications and Operations Management Branch (ECOMB).
  • Supervising a team of schedulers and administrative assistants in the Admin Support Unit.
  • Review and approval of time sheets for casual/relief employees within the Emergency Communications Centre
  • Creation of policy and procedures related to effective scheduling for a 24/7 emergency response environment 
  • Meeting Management & Scheduling including preparation and distribution of meeting packages and minute taking. 
  • Creating, designing, and proof-reading documentation to a high standard including e-mails, letters, reports, memoranda and presentations
  • Calendar management for the DMT
  • Managing incoming and outgoing correspondence and communications in a timely manner to ensure efficient communication flow 
  • Supporting the DMT by tracking the assignment and management of tasks including providing regular status updates.
  • Preparing travel arrangements, expense claims and reconciling VISA statements
  • Assist with the research and provision of information to the DMT to inform divisional bulletins, briefing notes and other adhoc reports
  • Analyze and review monthly operating budget variance reports and provide commentary to the DMT
  • Financial reporting to the DMT and the Province of Alberta for the Alberta 9-1-1 Grant Program and related expenditures 
  • Preparing tracking sheets and assigning to their respective areas
  • Monitoring diary dates to ensure tasks are completed on time and following up when tasks are late 
  • Other related duties as assigned
