The HR Data Specialist is responsible for reviewing, collecting, and processing employee-related data and documentation for entry into the HRIS system in alignment with company policies, payroll timelines, and compliance standards. This position plays a vital role in maintaining the integrity of employee records and ensuring the accuracy of all employee transactions.

How You Will Impact Education

  • Review and process employee transactions including hires, terminations, job/salary changes, and other HR actions using the HCM system.
  • Ensure all transactions meet internal policy requirements and are processed by established deadlines, particularly for payroll.
  • Provide timely and courteous customer service to internal stakeholders while upholding HR procedures and federal/state compliance guidelines.
  • Respond to emails and data requests from schools, departments, and leadership, prioritizing and escalating issues as necessary.
  • Monitor transaction queues and follow up on incomplete submissions or pending approvals to ensure timely resolution.
  • Generate audit reports and conduct regular data reviews to identify and correct errors.
  • Support internal audits and special projects through data analysis and documentation review.
  • Contribute to the development and refinement of Standard Operating Procedures (SOPs) for HR data processes.
  • Maintain confidentiality and security of employee data in accordance with privacy policies and legal requirements.
  • Collaborate with team members to support workflow coverage, training, and operational consistency across regions.

Required Qualifications and Skills

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Minimum 1 year of experience in human resources operations, data administration, or a related support function.
  • Proficient in Microsoft Office Suite (especially Excel and Outlook).

Job Requirements

  • Strong attention to detail and accuracy when entering or reviewing data.
  • Ability to manage multiple priorities and meet deadlines in a high-volume environment.
  • Effective written and verbal communication skills.
  • Demonstrated professionalism and discretion when handling sensitive information.
  • Experience with HRIS/HCM systems (e.g., ADP Vantage or similar) is a plus.
