Summary

The Administrative Coordinator-Engineering reports to the Director of Facilities and is responsible for the overall monitoring and control of the annual operational budget, capital budget, and other Engineering related budget issues. The Administrative Coordinator-Engineering also shares responsibility for creating and maintaining the highest level of maintenance service, business professionalism and support services.

 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Organizing, creating, and monitoring the Engineering Department's annual operational and capital budget, in addition to other budget-related issues.
  • Responsible for the Department's business activities, which include administrative, accounting, procurement, computer operations, and customer service.
  • Provides support to the facility. including, the casino, north tower/spa, south tower, administrative offices, north tower shipping & receiving, wastewater treatment plant/water treatment facilities, generator building, dam warehouse, 3 tier warehouse, banquet warehouse, mini-mart, golf clubhouse, turf maintenance shop, construction & development trailers, natural gas line, million-gallon tanks, reclamation tank, thermal tank, landscape property, Tribal housing and school, and recreational facilities.
  • Indirect responsibilities include, but are not limited to, planning, scheduling, coordinating, supervising, evaluating, and directing required maintenance services and projects for all the casino's facilities.
  • Prepares contracts using templates for previously approved contracts approved by legal counsel. Coordinates with Contract Administrator in the Finance Dept. prior to and during contract review process.
  • Reviews scopes of work, payment plans, and other specifications to ensure contracts are complete.
  • Develops and maintains document list to track document preparation and progression through CCCR procedures.
  • Develops and prepares regular reports on the status of contracts and tracking progression through CCCR's required procedures.
  • Works closely with Director of Facilities and others to ensure understanding of, and compliance with, contract terms and conditions.
  • Acts as a resource to staff regarding funds availability, substitutions, and budget constraints.
  • Analyzes and prepares the monthly Profit & Loss and Trial Balance report. Presents & reviews with the Director of Facilities the report by comparing actual results to the operational budget and analyzes the outcome to help the organization set and achieve business goals.
  • Plans, develops, and implements a preventative maintenance and repair program for all building, mechanical, electrical, plumbing, HVAC systems and equipment.
  • Maintains documentation on all facilities work performed, plans, and/or work history.

Qualifications

Education and/or Experience

Associate degree (A. A.) or equivalent from two-year college or technical school; five years related experience or equivalent combination of education and experience. Experience and knowledge of terms and conditions utilized in various types of contracts, i.e., agreements for services, independent contractors and consulting agreements, change orders, work orders, master contracts, etc. Knowledge of legal terms and components required for complete contracts. Knowledge of accounting principles; experience in monitoring accounting for, and payment of, contract expenses.

 

Computer Skills

Must be computer literate and proficient in multiple functions within Microsoft Office's Word and Excel, spreadsheets, and database applications.

 

Age Requirement

Must be at least 21 years of age.

 

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 

Mathematical Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Reasoning Ability
