Summary

The Convention Services Supervisor coordinates all aspects of upcoming convention events after the contracting process. The Convention Services Supervisor is the meeting planner's liaison to all departments related to their upcoming event. This position is responsible for effectively servicing clients/groups and maintaining the contracted food, beverage and hotel room block minimums. The Convention Services Supervisor will work in conjunction with adjacent Sales, Technical, and/or Catering services. The Convention Services Supervisor a critical component to achieving the hotel's revenue goals, and meeting planner satisfaction scores.

 

Essential Duties and Responsibilities: Includes but is not limited to the following listed duties:

  • Ensure contract specifications are met prior to the event as well as during the group function.
  • Acts as an internal liaison between Sales and other departments to facilitate and execute Group requests including but not limited to technical components of audio-visual equipment/services, internet services and transportation.
  • Maintain and monitor all pricing sheets for sellable equipment and services. Ensure prices are current, competitive, and presentable to the client.
  • Organize the Reservation Process.
  • Ensure that payment guidelines are adhered to.
  • Demonstrates ability to deliver Group Resumes in a timely basis and ensure accuracy. 
  • Handle all group details relating to the Group Resume including group history.
  • Ensures changes are communicated timely to impacted departments/operations leaders.
  • Assists in execution of all Banquet Event Orders.
  • Assists with in-room amenity orders and welcome gifts.
  • Assists with day of coordination for group bookings.
  • Send weekly Group Forecast reports to internal departments.
  • Develop a full working knowledge of the operations and policies of the hotel and applicable departments.
  • Maintain current vendor list which matches needs of the property and is accessible to other key managers and staff.
  • May assist in implementing and/or participating in special promotions relating to direct sales segments i.e. sales blitzes etc.
  • Counsels, guides, and instructs assigned personnel in the proper performance of their duties.
  • Assists with proper training of staff, assist with coaching of staff as needed
  • Attend daily/weekly/monthly meetings and any other functions required by management
  • Must be able to stay onsite for the duration of in-house group functions that may include occasional nights, weekends, and holidays.
  • Ability to communicate effectively with guests in a timely and professional manner.
  • Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.
  • Responsible for practicing, supporting, and promoting the Company's RICH culture and Guest Service standards.
  • Perform any other duties as requested by the Group Sales Manager, Director of Hotel, or VP of Hospitality

 

Supervisory Responsibilities

This position reports to the Group Sales Manager and directly oversees the group sales coordinator. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; payroll; rewarding and disciplining employees; addressing complaints and resolving problems.

 

Qualifications

Education and/or Experience

Two years' related experience and/or training in hospitality; Bachelor's degree (B.A.) in sales or related field or equivalent combination of experience and education. Must have strong organizational skills and presentation skills. Must be able to work independently and with a team managing multiple tasks simultaneously. Must have working knowledge of Microsoft Office. Must have knowledge of hotel property management systems, and hospitality sales tracking software. Ability to communicate, written and oral.

 

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Excellent interpersonal skills with demonstrated patience and tact.

 

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry. 

 

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.
