Job Description:

This position provides administrative support to the Dean's Office, its executive level staff, and other areas as designated to enable maximum productivity and effectiveness of the Dean's Office and the mission of the Division of Biology and Medicine, including the Warren Alpert Medical School. The Administrative Coordinator is responsible for providing administrative and reception support for the Dean's Office suite; scheduling and planning meetings for assigned senior administrative staff; providing administrative program support for the Medical Physics master's program; and, providing assistance in managing 30+ Google calendars for medical school related academic classes and events with constantly shifting and growing complex needs. Overall support needs include assisting with the day-to-day logistical elements of the Dean's Office, such as meetings, events, or other related activities; keeping up-to-date calendars; ordering and keeping an accounting of supplies, processing payments and other financial coordinator duties as assigned, and supporting the organization of larger scale events, including but not limited to Corporation and Commencement, admission days and workshops.

Qualifications

Education and Experience

  • Required: Associates degree and 2 years of administrative experience (preferably in a fast‐paced academic setting) or equivalent combination of education and experience.

  • Experience and demonstrated proficiency with Google Calendars, MS Office Suite (Excel, Word, PowerPoint) and Google Docs required.

  • Preferred experience with Cognos and 25Live
