Position Summary
The Evaluations and Graduation Program Specialist 2 reports to the Director, and works under general supervision. This position uses independent judgment to interpret and evaluate data submitted for the transfer of credit to the college, including international credit, the awarding of prior learning credit, placement into English and Math courses, and to determine if applicants meet the qualifications needed to award degree and certificate credentials (graduation).
Essential to this position is the ability to understand the basic procedures and operations of all areas that make up Student Central, and to provide technical assistance with processes related to admission, credit reviews, placement, financial aid, and applying for graduation in person, on the phone and using the electronic help system. This position must work in compliance with federal, state, college, and accreditation standards and regulations, and must attend training to stay current.
Pay, Benefits & Work SchedulePosition Salary Range: $45,900/year - $61,296/year
The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the DepartmentThis position works in the Evaluations and Graduation Office, which is a department within Student Central. Student Central also includes Enrollment Services, Financial Aid, Placement and Testing Services, the Center for High School Programs and The Welcome Center. Student Central is a single service area for students, the public, and the campus community, that provides comprehensive service and information related to these departments.
The Evaluations and Graduation Office supports the mission of the college by using a student-centered approach, and access to college programs and services that advance the lifelong educational learning and development of its students. Through evaluation of prior learning, and completion of degree and certificate requirements, the Evaluations and Graduation Office supports student success by ensuring students take only those credits needed to complete their academic goals.
Essential FunctionsAnalyze and Evaluate Documentation needed to Award Credit and Confirm Degree and Certificate Completion
- Collect, analyze, and evaluate college and university transcripts for both domestic and international institutions needed to determine transfer of credit to the College.
- Independently use an investigative process to determine course equivalencies between the College and the transfer institution, which includes consultation with appropriate faculty, review of established databases, or review of course descriptions as found in college catalogs.
- Independently advise students, staff, and faculty regarding options and alternative courses of action based on student-specific circumstances in areas related to course substitutions and exceptions to graduation requirements.
- Award transfer credit based on analysis and evaluation of documentation in accordance with state regulations and accreditation standards, and properly record and transcribe credit in the Student Management System.
- Collect, analyze, and evaluate graduation applications, and determine if students meet graduation requirements as articulated in the college catalog and in accordance with college policy, ICRC (Intercollege Relations Commission) guidelines and other articulation agreements.
- Properly record degrees and other credentials in the Student Management System to ensure proper posting of the credential to the transcript, and in accordance with college requirements, state regulations, and accreditation standards.
- Input and update data related to Evaluations and Graduation into various databases. Maintain accurate records of interactions, and document submission and report any issues to the Director.
Provide Support and Coordinate Services for Evaluations & Graduation
- Participate in and coordinate the daily operations of the Evaluations and Graduation office and Student Central. This work includes assisting in navigating campus resources, troubleshooting common inquiries on admission procedures, applying for financial aid, Enrollment Services, English and Math placement, and processes related to the evaluation of credit and graduation.
- Provide technical assistance with processes related to transcripts, credit reviews, substitutions, prior learning, and applying for graduation.
Answer phone calls, emails, and walk-in inquiries from students with clear and accurate information, provide a high level of customer service, maintain professionalism, and respect for students, faculty, staff, and families. - Handle interactions with students, faculty, staff, and families calmly and effectively, referring problems to the Director as needed.
- Coordinate and collaborate with departments that provide support services that assist students in overcoming obstacles and problems they encounter. These may include, but are not limited to Academic Advising, Student Central, Disability Resource Center (DRC), Multicultural Services (MCS), Workforce Education, Counseling, and TRiO.
- Assist in coordinating the daily operations of the Evaluations and Graduation Office. This includes scheduling, training new staff, tracking work that needs to be completed, and completion of critical office tasks.
Read & Interpret State Regulations, ICRC Guidelines, and Accreditation Standards
- Read and interpret information and articulation agreements as provided by ICRC guidelines.
- Understand accreditation standards as it relates to the awarding of transfer credit, prior learning credit and graduation.
- Read and interpret state and federal regulations as they relate to admission application processes, English and Math placement, financial aid basic eligibility, and the awarding of prior learning credit, and use independent judgement to advise students appropriately based on student specific circumstances.
- Attend conferences and workshops needed to keep information current, and obtain training in regards to changing state regulations, the awarding of credit, and graduation requirements.

- Associate degree with equivalent related work experience. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
- Two (2) years of experience working in higher education in an office setting.
- Two (2) years of experience using a database or student management system.
- Two (2) years of experience working in a customer service setting.
- Experience working in a collaborative team environment with diverse employees and student/customer groups.
- Effective verbal and written communication skills.
- Demonstrated ability to use Microsoft Word, Access, Excel, Teams and Outlook.
- Demonstrated ability to use computers for data entry, web applications, searching the internet, and troubleshooting basic computer issues.
- Demonstrated ability to work in accordance with policies, procedures, and federal and state regulations.
- Bachelor¿s degree in a related field.
- One (1) year of experience working in a Washington State Community and Technical College setting in an office related to transfer credit, evaluations, and graduation.
- Demonstrated experience with PeopleSoft database systems.
