Position Summary  

This Administrative support role is responsible for providing support services for Bellevue College Foundation (BCF) board, scholarships, finance and development staff. This position is responsible for supporting multiple aspects of the foundation including safety net support, board interaction and management, development support, administrative support.

The Foundation support role works in the BCF office and will report to the Executive Director. This position will have primary responsibility for administrative and board support for the Foundation. This position will also support the BCF development staff, scholarship and program staff, Board of Directors, and other key volunteers to achieve annual goals of the Foundation, including all major events. This position will have responsibility for coverage of some supervisor duties during absences.

Responsibilities include supporting the BCF staff as appropriate in preparing reports, maintaining databases, processing contributions and safety net funds, providing first-tier customer service via phone and email, supporting successful events, and other duties and processes necessary to maintain the integrity of our donor base.

In addition to the ED and scholarship support duties this role will support the board.

Pay, Benefits & Work Schedule  

Position Salary Range: $55,819/year - $78,147/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Typically, new hires start no higher than $61,401/year based on Bellevue College Exempt salary schedule.

The employee is scheduled to work 40 hours per workweek. This position may be eligible for the overtime provisions of the Fair Labor Standards Act; salaries below the WA State Salary Threshold is eligible for overtime pay.

About the Department  

The Institutional Advancement (IA) Division of Bellevue College works across the full academic enterprise to solidify a multi-faceted culture of brand awareness, philanthropy, and internal and external engagement. IA supports the College's mission by increasing awareness of, advocacy for, engagement in, and giving to Bellevue College. As part of the IA division, the Marketing & Communications department is responsible for stewarding the BC brand and driving the college's marketing strategy to increase awareness, support enrollment, and drive community engagement.

Essential Functions  

Admin Support

  • Support Executive Director (ED) with calendar scheduling and day to day administrative operations of the Foundation while coordinating with the Executive Assistant (EA) to Institutional Advancement.
  • Preparing reports out of multiple foundation systems.
  • Providing first-tier customer service as this role will be an extension of the Foundation which is an external facing organization.
  • Support the Foundation managers with scheduling, documentation, reports and needed admin activities for their roles.

Board Support 

  • Manage communication with the board, President's office, community partners and vendors on behalf of the Foundation.
  • Act as the Executive Director's representative in all meetings set up, finalizing  agendas, meeting design management and communications.
  • Partner with Executive Director in scheduling one-on-one meeting with Board Members.
  • Support the Director of Development, Executive Director, and Directors Committee Chair with board management and the on-boarding process of new board members, including composing and updating organizational documents that are used by the board, updating policies and procedures and manual and tracking a document review schedule.
  • Coordinate with BC Food Services to schedule meeting space, room set up, and catering for prospective Board Members visits and tours.

Safety Net Coordination

  • Support the processes and procedures for the safety net programs of the College include providing feedback for improvement of processes and efficiencies while coordinating with various partner programs on campus.
  • Monitor incoming requests and ensure they are being routed to the right places and in a time fashion.
  • Coordinate and collaborate with different safety net resources across campus to ensure timely awards as they arise.
  • Coordinate with the Finance Director to receive payments that have been processed and distributed.
  • Monitor and manage the funds and balances to ensure the sustainability of resources.

Other Duties

  • Support social media efforts, as appropriate.
  • Support foundation events and activities, as needed.
  • Support scholarship review and processing, as needed.
  • Responsibility for coverage of some supervisor duties during absences.
Minimum Qualifications  
  • Associate Degree in relevant field. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
  • Minimum two (2) years of experience in administrative support.
  • Knowledge of basic accounting principles.
  • Knowledge of CRM systems.
  • Effective verbal, written interpersonal communication skills while maintaining professionalism with internal and external stakeholders.
  • Effective project management and organizational skills.
  • Moderate to advanced level computer skills including the most current Windows operating system; Microsoft Office Suite, specifically MS Excel and MS Word programs.
  • Demonstrated ability to work independently as well as in a team setting.
  • Demonstrated ability to maintain confidentiality.
  • Demonstrated experience with process improvement or business operations improvement.
  • Demonstrated understanding of the value of higher education as described in the BC Vision, Core Values, and Mission statements.
  • Ability to work occasional early mornings, evenings and weekends as needed.
Preferred Qualifications  
  • Bachelor's degree.
  • Demonstrated understanding of Bellevue College Foundation mission.
  • Demonstrated skills in CRM like Blackbaud Raiser's Edge.
  • Experience with social media campaigns and assessment.
  • Experience working in higher education.
