Summary of Position:
The HR Coordinator is responsible for overseeing the volunteers throughout the health system as well as assisting the HR team in a variety of HR administrative work. This position matches interested volunteers with opportunities that suits their skill set and serves the organization and helps with the onboarding process. The HR Coordinator supports the Human Resources department with record-keeping, answering employee questions, onboarding new hires, event planning and overall serves as a resource for the team.
Qualifications
Education:
• High School degree or GED preferred
Experience:
• Previous administrative experience required
• Minimum of three years leadership experience with volunteers preferred
Knowledge/Skills/Abilities:
• Knowledge of volunteer management principals
• Exceptional communication skills and active listening skills
• Ability to provide friendly customer service in difficult situations
• Highly effective written and verbal communication skills
• Ability to prioritize effectively, complete a multitude of tasks and assignments quickly and efficiently and meet deadlines.
• Must be detail-oriented
• Ability to exhibit a high level of confidentiality.
• Strong computer skills; proficient with Microsoft Office Suite

Essential Functions
1. Provides consistently exceptional care at all times.
2. Coordinates the new volunteer onboarding process for all Barton volunteers (Auxiliary, SNF, Hospice, Dog Therapy, Jr Volunteers, etc)
3. Assists volunteers with Annual Required Training (ART) in coordination with their department and Education.
4. Responsible for all timecard data entry in and/or corrections in the HRIS system for volunteers.
5. Works with groups of volunteers to orient them to specific duties for significant events. Lead on-the-job training or conduct informational sessions prior to volunteer events.
6. Maintains communication with existing volunteers. Sends informative emails and newsletters to volunteers to keep them abreast of happenings within the organization and informed of additional opportunities to participate, as needed.
7. Coordinates and attends monthly Auxiliary meetings.
8. Assists volunteers with questions and concerns. Communicates any problems as they arise through proper channels.
9. Performs follow up after assignment of volunteers to ensure the volunteer feels comfortable with their placements and fully understand their responsibilities. Also performs follow up with department manager or event leader to ensure the volunteer is meeting their expectations.
10. Works with Leave Specialist in the event of a volunteer injury during the course of their duties for the health system.
11. Assists with completing the volunteer workers' compensation annual application.
12. Assists new volunteers and hires with the Nevada fingerprinting process, when applicable.
13. Performs data entry into the HRIS system for all Travelers.
14. Responsible for the employee ticket drawings for events at the Tahoe Blue Event Center, including communication with the Event Center and employees.
15. Responsible for You Rock Employee Standing Ovation nominations and awards.
16. Coordinates, plans and carries out employee events with the HR team. Events include employee BBQ, holiday party, employee recognition events, etc. Coordinates date, books venues, caterer, and entertainment, sends out invites and reminders, and other duties.
17. Assists with the distribution of employee anniversary pins.
18. Follows-up on outstanding employee forms through the HRIS system.
19. Assists with data entry on workers compensation claims for OSHA logs.
20. Assists the Benefit Specialist with processing debit card payments for missing deductions.
21. Creates all termination packages and ensures final paycheck is received from Payroll, as needed.
22. Distributes exit interviews, reviews replies and will escalate as needed.
23. Assists with Friend In Need requests and processing.
24. Provides customer service to all employees and volunteers who come to HR for scheduled meetings, drop-ins and using the lobby computers for ART or benefit software access.
25. Oversees HR supplies, including legally mandated hardcopy brochures
26. Performs various HR communication duties, including answering the HR main line, routing appropriately and returning calls based on priority.
27. Performs administrative and clerical duties in an accurate and timely manner.
28. Supports the efforts of the Recruiters, HR Analyst, Benefits Specialist, Leave Specialist and Director of Human Resources, as necessary.
29. Responds to the needs of the department by performing other duties, as necessary.
