Administrative Coordinator - Education Services Department: Education Services FLSA Status: Non-Exempt Reports To: Education Program Manager Schedule: Full- Time – 40 Hours Per Week – Monday – Friday   Position Summary The Administrative Coordinator - Education Services plays a vital role in creating exceptional learning, onboarding, and student experiences throughout Wilson Health. Serving as a key operational partner within the Education Services Department, this dynamic and highly visible position coordinates educational technologies, compliance and training programs, student experiences, onboarding activities, and departmental operations that support employees across the organization.   This role is ideal for a highly organized, technology-savvy professional who thrives in a fast-paced environment, enjoys building relationships, and takes pride in creating seamless experiences for employees, students, leaders, and community partners.   Essential Duties and Responsibilities Education Systems and Compliance Administration
  • Serve as the primary administrator for Education Services technology platforms, including HealthStream, RQI, and other learning management systems.
  • Manage educational assignments, competency tracking, certification records, compliance reporting, and employee learning records.
  • Develop and maintain reports, dashboards, and tracking tools to support regulatory compliance and organizational learning initiatives.
  • Troubleshoot user issues, manage system access, and assist employees with educational technology platforms.
  • Ensure accuracy, integrity, and confidentiality of education and compliance records.
  • Monitor completion of required training and proactively communicate outstanding requirements to leaders and employees.
  • Maintain documentation related to educational activities, certifications, competencies, and regulatory requirements.
  • Utilize Excel and other software applications to organize data, create reports, and support departmental analytics.
Student Program Coordination
  • Serve as the primary coordinator for Wilson Health's student programs.
  • Coordinate job shadows, observational experiences, internships, clinical placements, and other educational opportunities.
  • Partner with local schools, colleges, universities, department leaders, and the Human Resources Talent Acquisition team to facilitate student experiences.
  • Manage student onboarding requirements, documentation, schedules, communications, and tracking processes.
  • Maintain relationships with educational partners and serve as a key contact for student programs and related outreach initiatives.
  • Support healthcare career exploration activities, outreach events, and community engagement opportunities.
  • Ensure students, educators, and organizational leaders have a positive, organized, and professional experience throughout the placement process.
Education Operations and Program Coordination
  • Coordinate Education Services onboarding and orientation activities for new employees, students, and learners.
  • Organize and manage educational classes, registrations, schedules, conference rooms, instructors, equipment, and related logistics.
  • Prepare educational materials, reports, presentations, communications, certificates, and program documentation.
  • Facilitate portions of new employee orientation, onboarding, educational sessions, and student programming as assigned.
  • Present information clearly and confidently to employees, students, visitors, and community partners in both individual and group settings.
  • Serve as an ambassador for Wilson Health by creating a positive, engaging experience for new employees, students, and community partners.
  • Assist with the development and delivery of educational presentations and departmental training activities.
  • Support departmental projects, process improvement initiatives, and special assignments.
  • Maintain calendars, schedules, meeting logistics, and departmental communications.
Customer Service and Administrative Operations
  • Serve as the first point of contact for Education Services and provide exceptional customer service to employees, students, visitors, and community partners.
  • Greet visitors and manage a high volume of incoming phone calls and inquiries.
  • Coordinate correspondence, filing, scanning, records management, and document retention activities.
  • Assist with purchasing, supply management, and departmental administrative functions.
  • Maintain professionalism, confidentiality, and effective communication in all interactions.
Human Resources Collaboration
  • Cross-train on selected Human Resources processes and workflows.
  • Collaborate with Human Resources on onboarding-related activities and student outreach initiatives.
  • Provide administrative support during high-volume periods and special projects as assigned.
Other Responsibilities
  • Participate in continuous learning and professional development opportunities.
  • Contribute to departmental and organizational improvement efforts.
  • Perform other duties as assigned.
Qualifications Education
  • High school diploma or equivalent required.
  • Associate degree in Business, Healthcare Administration, Education, Human Resources, or a related field preferred.
Experience
  • Three or more years of experience in administrative coordination, education services, healthcare, human resources, program coordination, or a related field preferred.
  • Experience managing multiple priorities, coordinating programs, and maintaining detailed records.
  • Experience working with learning management systems, HRIS platforms, compliance systems, or related technology preferred.
  • Healthcare experience preferred but not required.
Knowledge, Skills, and Abilities
  • Advanced organizational and time-management skills.
  • Ability to manage multiple projects and competing priorities with minimal supervision.
  • Excellent verbal, written, presentation, and interpersonal communication skills.
  • Strong public speaking and presentation skills, with the ability to facilitate educational, onboarding, and student program activities.
  • Ability to communicate confidently and professionally with employees, leaders, students, educational partners, and community organizations.

  • Demonstrated attention to detail and commitment to accuracy.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong technology aptitude with the ability to learn and administer multiple software platforms and reporting systems.
Technical Skills
  • Proficiency in Microsoft Office applications, including Word, Outlook, PowerPoint, and Excel.
  • Intermediate to advanced Excel skills preferred, including PivotTables, lookup functions, reporting, and data management.
  • Ability to learn and effectively utilize HealthStream, RQI, learning management systems, HRIS platforms, and other software applications.
Preferred Qualifications
  • Experience with HealthStream, RQI, or other learning management systems.
  • Experience coordinating educational programs, onboarding activities, compliance initiatives, or training programs.
  • Experience in healthcare, education, student programming, or human resources environments.
  • Clinical background is beneficial but not required.
  • Experience working with students, educational institutions, or healthcare career exploration programs preferred.
