The Enrollment Support Specialist I serves as a front-facing, first point of contact representing the Offices of Admissions, Registrar, and Financial Aid for prospective and current students and applicants for admission to UT Dallas academic programs, providing information and counseling and making decisions in response to their inquiries and/or concerns.
Minimum Education and Experience
Bachelor's degree from an accredited institution OR an Associate's degree and two or more years of work experience in higher education customer service OR an equivalent combination of education and experience.
Essential Duties and Responsibilities
- Interact with prospective and current students by e-mail, phone, or in person to provide information and counseling and to address questions and concerns by: processing fees; waiving required fees and documents; making grade changes; assisting with course registration, changes, and withdrawals; advising of residency requirements; evaluating financial aid packets; advising of missing information and documents; and answering other related inquiries.
- Respond to customer complaints or address discrepancies by e-mail, phone, or in person in accordance with University policies and department guidelines.
- Utilize various systems and platforms, including OnBase, PeopleSoft Campus Solutions, and Salesforce, as well as contact with various department representatives, to research and resolve customer questions and concerns, such as identifying and updating admission status, removing holds, and determining billing and financial aid status.
- Accept, identify, and log documents, make specific updates to systems, and forward to the appropriate locations for processing.
- Stay current on federal, state, and university policies and procedures, university degrees, majors, and programs, admission requirements, and tuition and fee structure to facilitate responses to student and other customer inquiries and complaints.
- Open, identify, separate, and deliver mail.
- Ensure brochures are stocked in various display areas.
- Attend various training functions.
- Attend required meetings and participate in required events which may include working outside normal business hours.
Additional Information
Remote Work Notice
Following successful completion of an initial training period, a hybrid work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be cancelled.
