The Assistant Director, Financial Aid reports to the Associate Director of Financial Aid for Verification, Eligibility, and Loans Management and supervises the staff of the Verification & Eligibility Team, auditing and reporting on workload and work product and serving as backup for all Team functions. This position maintains knowledge of federal, state, and institutional regulations and procedures and uses that knowledge to proactively review and enhance business processes. This position is also responsible for training staff across the Office of Financial Aid about topics relevant to aid verification and eligibility.
Minimum Education and Experience
Bachelor's degree from an accredited institution and at least three years of higher education administration experience in financial aid, student finance, or related area. An equivalent combination of education and experience will be accepted.
Preferred Education and Experience
- Bachelor's degree from an accredited institution and at least five years of higher education experience in financial aid, student finance, or related area.
- At least one year of experience supervising full-time staff.
Essential Duties and Responsibilities
- Oversee verification, eligibility determinations, needs analysis, professional judgment requests, and manual awarding of state aid applicants.
- Understand and apply federal, state, and institutional rules and regulations regarding financial aid programs.
- Supervise, mentor and train Office of Financial Aid Verification & Eligibility Team: provide guidance regarding daily tasks as well as overall work goals and objectives, and document training, expectations, and goals; develop and proactively maintain training materials; manage Team business processes for relevant programs, and provide feedback to both direct reports and supervisor regarding Team status.
- Identify areas for training and process improvements; develop training presentations for Office of Financial Aid staff, coordinate trainings with leadership team, and offer scheduled and ad hoc training sessions.
- Create, maintain, and enhance business process documentation; identify business process enhancements for financial aid policies and procedures, report suggested enhancements to leadership, and follow through on implementing enhancements when approved by leadership.
- Serve as a member of the Office of Financial Aid Administrative Team.
- Provide professional financial aid counseling for students, families, and colleagues, and assist with unusual situations which may require special counseling and/or assistance beyond the Financial Aid Counselor or Verification & Eligibility staff.
- Monitor changes in regulations and requirements of federal and state programs and communicate such changes to administrative team and UTD community, as appropriate; attend or complete trainings and read periodic updated from the Department of Education, THECB, and professional organizations such as NASFAA and TASFAA.
Additional Information
The successful candidate must be eligible to administer Title IV student aid.
Remote Work Notice
Following successful completion of an initial training period, a hybrid work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be cancelled.
