Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $61,400 - $109,200.  The budgeted salary range that the University reasonably expects to pay for this position is $64,000 - $68,000/yr.

About the Job

Under the general direction of the Associate Director of Hospitality Services, the Operations and Events Manager will provide comprehensive coordination, event, and venue management of exterior and interior conference facilities on the UC Merced campus, including the 10,000+ square foot Conference Center. The incumbent will be the primary on-site event management personnel, working with clients to access event spaces and coordinating with student staff throughout the event to handle event logistics and technical support. This position will directly supervise a student events team along with managing relationships with key campus stakeholders and clients.

KEY RESPONSIBILITIES

  • Responsible for the successful operations of a robust and growing 10-week summer conference program, which is targeted to exceed revenues of over $750,000. Manage relationships between maintenance, custodial, housing, and residence education to secure building availability for incoming conference groups, conduct building inspections with the student team before conference check-in, adhere to group resumes for specific conference details, and prepare keys and registration procedures for check-in and checkouts for each group. Communicate promptly with custodial, lock and access, and dining teams so that linens, keys, and dining are fully aware of group numbers and dates. Supervise a roster of ten student conference team members.
  • Responsible for interfacing and coordinating event management and compliance with clients and various campus partners such as Fire Marshal, Facilities, EH&S, TAPS, Risk, and Public Safety.
  • Responsible for developing and managing relationships across multiple stakeholders, which include strategic campus partners, campus and external clients, and senior leadership.
  • Recruits, trains, and manages the event team of at least ten students, two student leads, and one student manager. Determines and coordinates staffing needs and ensures timesheets are complete and accurate. Develops academic and summer conference training and is responsible for onboarding new student staff. Reviews and evaluates student staff through various one-on-one and departmental meetings, responsible for counseling and disciplinary process.
  • With department leadership, participates in the the planning, implementation, and coordination of all events, conferences, and guest housing to maximize service quality, effectiveness, and efficiency. Responsible for venue and building management, which includes inventory and maintenance of event equipment and furniture, coordinating with campus partners on building maintenance and custodial. Provides onsite event management and ensures smooth-running, effective events, including promptly recognizing and resolving potential and real problems using tact, sensitivity, discretion, and political acumen. Point of contact for all exterior and classroom events that require interfacing with the fire marshal for appropriate permits and facilities for the necessary event equipment.
  • In conjunction with OIT, will be responsible for the execution of all audio-visual requirements for events in Hospitality Services managed spaces. This includes, but is not limited to, soundboards, video switchers, microphones, and computers for presentations. Must be adept at creating and editing presentations via computer software programs.

Qualifications

EDUCATION and REQUIREMENTS

  • Bachelor's degree in related area from an accredited institution.
  • Three years of directly related, progressively responsible experience in event coordination, or an equivalent combination of education/training/experience.
  • Must maintain valid CA Driver's License.
  • Eligible for or current CMP (Or equivalent) Certification. (Preferred)

CRITICAL KNOWLEDGE AND SKILLS

  • Working knowledge of concepts, principles and practices of event planning.
  • Working knowledge of the campus, its programs, policies, mission, goals and infrastructure.
  • Working organizational skills, including skill in effectively coordinating and organizing multiple details for multiple events.
  • Good interpersonal communication skills and political acumen, including skill in effectively representing the department and campus.
  • Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service.
  • Experience with event management software such as Accruent EMS, Star Rez. (Preferred)
  • Experience with Social Tables or Event Diagraming software. (Preferred)
  • Working knowledge of Audio Visual systems. (Preferred)
