Summary of Job Duties: We are seeking a dedicated and organized professional to join our team as an Administrative Coordinator. You will be a key contributor to the UAMS Institution for Community Health and Innovation, ensuring the seamless execution of administrative functions that support community health initiatives. The role involves managing schedules, coordinating meetings, and maintaining records to support the institution's goals. The ideal candidate will have strong organizational skills, attention to detail, and a passion for community health. Qualifications:

Minimum Qualifications:

  • High school diploma/GED and at least six (6) years of experience in program coordination, office administration, customer service, or a related field.
  • Valid driver's license, current automobile insurance, and access to a reliable car for moderate travel (mileage reimbursed if a state vehicle is unavailable). Occasional out-of-state travel required.

 Preferred Qualifications:

  • Bachelor's degree and at least two (2) years of experience in program coordination, office administration, customer service, or a related field.

Knowledge, Skills, & Abilities:

  • Detail-oriented and highly organized.
  • Excellent interpersonal and problem-solving skills.
  • Proficiency in Microsoft Office Suite.
  • Strong oral and written communication skills.
  • Ability to work independently and collaboratively in a team setting.

Key Responsibilities:

Travel and Purchasing

  • Coordinate travel arrangements for faculty and staff, including flights, hotels, rental cars, and other travel needs.
  • Process purchase requests for office supplies, medical supplies, books, dues, and other departmental items.
  • Utilize Workday for travel and purchasing, ensuring proper documentation and compliance with UAMS procedures.
  • Communicate with the central procurement office to confirm purchase order details and secure competitive pricing.
  • Reconcile travel card charges in a timely and accurate manner, acting as a responsible steward of the travel card.

Administration

  • Support project administrative needs by collaborating with team members across various initiatives.
  • Assist with planning campus events, including room reservations, food and beverage arrangements, technology setup, and invitation management.
  • Manage Outlook calendar scheduling for leadership, coordinate meetings, and maintain accurate records.
  • Maintain office supply inventory, schedule conference rooms, and provide directions or assistance to on-site guests.
  • Establish and maintain contact lists, office policies, and procedures to streamline operations.
  • Handle incoming and outgoing mail, process shipments via UPS/FedEx, and maintain related records.

Additional Duties

  • Support special projects and provide backup assistance to departmental staff as needed.
  • Contribute to team efforts by taking on additional assigned duties to ensure operational success.
  • May carry out additional duties as assigned.
