This Administrative Asst I position is responsible for providing administrative support primarily to the Green Bay office but also across the business unit as needed. You will support the office staff and ensure that all administrative tasks are completed accurately and delivered with high quality and in a timely manner.

 

Your Role:

  • Greet all visitors when they come to the office.
  • Receive and sort and distribute daily mail/deliveries/couriers
  • Perform other clerical duties such as filing, photocopying, collating, faxing etc.
  • File, archive and retrieve documents and records
  • Assist staff as needed with travel arrangements
  • Order office and pantry supplies and maintain inventory
  • Prepare general correspondence (letters, memoranda, minutes, agendas, etc.).
  • Assist with preparation, production and shipping of correspondence, including client invoices, proposals, reports and other deliverables
  • Proofread and edit documents for errors, grammar, spelling, punctuation, and consistent formatting.
  • Maintain workplace safety by following procedures and controlling access (monitor guest logbook, office Emergency Action Plan coordination)
  • Conduct and log monthly office safety inspections
  • Update appointment calendars and schedule meetings/appointments as needed
  • Keep conference rooms and open office areas tidy
  • Set up conference rooms for scheduled meetings including webinars
  • Order lunches as requested for meetings and lunch & learns
  • Scheduling shipping pick ups
  • Assist in project set up/project numbers
  • Maintain an office contact list of staff phone numbers and email lists
  • Other duties as required

  • Intermediate level skillset with MS Office Word and Outlook
  • Beginner level skillset with Excel and PowerPoint
  • Familiarity with PDF editing software (e.g. Adobe or Nuance PowerPDF)
  • Understanding of latest technologies and ability to apply them
  • Willingness to learn new software and technologies in support of this position
  • Professional appearance
  • Good team player with the ability to work collaboratively
  • Strong organizational skills
  • Solid interpersonal and communication skills both written and verbal
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
