Overview

The Office of Purchasing and Contracting (OPC) within the Department of Buildings and General Services (BGS) serves as the centralized procurement office for the State of Vermont. We are seeking a detail-oriented and highly organized State Assistant Purchasing Agent to join our dynamic, fast-paced team.


As a key member of our procurement team, this position will:

  • Maintain daily correspondence, organize files, answer calls, and handle various administrative tasks.
  • Assemble bid packages and contract documents.
  • Post bid packages, contracts, and other documents on the OPC website and the Vermont Bid System in a timely manner.
  • Track and record the progress of bid and contract documents through the approval process.
  • Schedule and conduct public bid openings.
  • Prepare and distribute bid tab sheets and responses to state personnel.
  • Ensure all necessary documentation is in place for contract execution, including compliance with State, Federal, FEMA, and Agency of Administration (AoA) guidelines.
  • Review documents for accuracy and compliance, prepare cover sheets, create and maintain electronic and paper files, and file documentation appropriately.
  • Keep State Purchasing Agents informed of updates and issues as they arise.
  • Maintain the State's Liquid Fuel website and manage weekly pricing updates.


This role will provide administrative support to the State Senior Purchasing Agent, working closely with vendors and state personnel to ensure a compliant procurement process. The position will also collaborate with agencies to advise on purchasing procedures, foster communication with key stakeholders, and address unique purchasing needs.

This position, State Assistant Purchasing Agent (#52280), is open to all State employees and external applicants. This is a Limited Service position, which is non-tenured and authorized for a specific period of time. Limited Service positions are established for specially funded projects or programs.

Environmental Factors

Work is performed primarily in a normal office setting. Significant interaction with vendors and various State officials and personnel is required. Workload volume can be heavy and pressure to meet deadlines is present.

Minimum Qualifications

One (1) or more years of experience in inventory management, purchasing, contract administration, sales, or related field.

Preferred Qualifications

Experience with contract or financial management systems.

College coursework in accounting, business administration, or related field.
