Job Description

The primary function of the role is to be the first point of contact for visitors to Bishops Square, ensuring client confidentiality is maintained at all times. Additional Corporate Property administration tasks also form a central part of this role.

Responsibilities of incumbent: 

                                                                                                                               

  • Reception – Accountable for providing a professional and courteous meet and greet service to visitors / employees requiring assistance.
  • Taxi Bookings – Responsible for the management of taxi booking requests from business areas, maintenance of the taxi booking log with subsequent reconciliation of invoices at the end of each month.
  • Meeting Room Bookings – Responsible for co-ordination and booking of meeting room requests, including hot desks and manager offices when required.
  • Switchboard – Answer all calls to SS&C in a professional and courteous manner and ensuring all messages are delivered in a timely manner.
  • Reception area – Responsible for ensuring the reception area and boardroom are kept tidy at all times.
  • Meeting Room Set Up – Responsible for providing correct room set-up information for the janitor on a daily basis.
  • Catering – Provide supporting role in day to day management of catering, ensuring delivery and collection of hospitality for meetings.
  • Visitor Passes – Responsible for preparing daily visitor passes and informing security of visitors.
  • Wifi Access – Responsible for issuing visitors with Wifi access for duration of their visit.
  • Security – Responsible for ensuring requests to open site out of hours are actioned and intruder alarms set when site is not required out of hours.
  • Access Cards – Accountable for creating, issuing and retrieving employee security passes. Maintain leavers spreadsheet ensuring all passes are returned and either reused or discarded. Responsible for carrying out audit on access doors on a quarterly basis. Responsible for managing landlord access cards and ensuring each employee is assigned a card and maintain log for new starters, leavers and lost cards.
  • Car Parking – Administration of the car park database for all Bishops Square spaces. Responsible for visitor parking allocation as and when required. 
  • Cleaning – Responsible for ensuring cleaning standards are maintained and liaising with cleaning company for any issues that may arise.
  • Meetings – Attend and actively contribute to team meetings. Produce and distribute minutes from team meetings when required.
  • Couriers – Responsible for arranging the collection and delivery of national and international couriers, including between other sites. This includes completion of courier logs and subsequent reconciliation of invoices at the end of each month.
  • DMC – Sorting, scanning and archiving all original documentation received into the DMC on a daily basis.
  • Facilities Helpdesk – manage queue, ensure action and responses keeping SNOW up to date.
  • Facilities alias – Reviewing tasks and working with facilities team to ensure all tasks are actioned and closed when completed.
  • DSE – Learn to complete manual DSE assessments to support facilities team.
  • Travel Support – Understand the procedures relating to travel management and provide back up support to the travel administrators / employees when required.
  • First Aid/Fire Marshal Checklists – Support facilities team when required.
  • Ad-hoc Tasks – Flexible and adaptable to respond to reasonable ad-hoc tasks as required.

In addition to regular communication with colleagues and management within the Corporate Property Team, the incumbent will be required to liaise with the following parties:
