We are seeking a detail-oriented and proactive Legal Assistant to support our legal team in various administrative and clerical tasks. If you have strong organizational skills and a passion for the legal field, we invite you to apply and contribute to our dynamic team.

WHAT YOU WILL DO:

The Legal Assistant performs a variety of complex clerical, secretarial, and administrative work in keeping official records, providing administrative support to the legal staff, including researching law, investigating facts, and preparing documents, and assists in the administration of policies and procedures of the legal department. Job duties include:

  • Perform clerical and administrative work in answering telephones, typing, maintaining files, and scheduling appointments.
  • Perform intake on administrative, state-court, and federal district court charges, complaints, motions, requests for production, and requests for admission.
    • Calendar due dates, draft extension requests, notify insurers of matters, draft preservation letters, and assist in-house counsel and/or external counsel in providing documents required to fulfill the order and meet the deadline.
  • Maintain calendar and deadlines to make sure that in-house counsel prepares timely responses to such deadlines.
  • Maintain attorney-client privilege and safeguard confidential information, data, and materials.
  • Research complaints filed by with the EEOC (or state agency), DOL, NLRB, ICE, or any other agency.
    • Prepare initial case summaries of legal issues, answers, and/or position statements for in-house or external counsel to review.
  • Manage legal billings, complete and balance PSSI's legal reserve, and oversee all financials of anticipated and ongoing litigation.
  • Setup legal tracker (electronic billing) and ongoing uploading of new cases into the system.
  • Assist in-house counsel and Sales Support in contract negotiations with customers and company vendors.
    • Implement version control, calendar meetings and deadlines, and review contracts for accuracy and fidelity before presenting to legal team for execution.
  • Assist various departments with legal matters:
    • Workers' Compensation department on managing litigation related to workplace and personal injuries.
    • Sales Support and Business Development Managers to manage upcoming contract renewals, legal negotiations on renewing business, and renewing expired contracts.
    • Safety department on managing informal inspections, investigations, and litigation related to workplace injuries and/or illness with OSHA.
    • Accounts Receivable department to monitor and manage anticipating and ongoing litigation with delinquent Customers.
    • Human Resources department with research and investigation materials.
    • Other duties as assigned.

YOUR MUST HAVES:

  • Must be 18 years of age or older.
  • Ability to work in a fast-paced environment with a large, diverse workload.
  • Excellent organization and task-orientation.
  • Excellent oral and written communication skills in English and Spanish (if bilingual).
  • Customer-service orientation towards internal department stakeholders such as PSSI's Worker's Compensation, Human Resources, Sales, and accounting departments.
  • Efficient in Adobe Acrobat and Microsoft Office products like Word, Excel, and Outlook with knowledge of v-look ups, pivot tables, and concatenation.
  • Quickly divert time and focus to resolve urgent issues.
  • Travel regionally to PSSI legal regionally with 1-3 days' notice and nationally with 20+ days' notice.
  • Operate office equipment, including scanner and fax.
  • Pick up new tasks as assigned on a daily, weekly, monthly, and annual basis.
  • Adhere to PSSI confidentiality policy.

WHAT WE PREFER YOU HAVE:

  • Basic understanding of legal process through education or relevant work experience.
  • Proven excellence in time-management and project management through experience.

OUR ENVIRONMENT:

This position is a hybrid position based, in part, in the Corporate Headquarters consisting of a traditional office setting and a combination of your professional home office. This position requires the ability to sit for extended periods of time while working on a computer and may require travel.
