Job Summary:

The Director of Academic Advisement provides strategic planning, direction, and supervision for the Academic Advisement department and serves as a key member of the student experience leadership team. This position is responsible for managing student academic advisors, cultivating, and maintaining effective relations with campus and community partners, and creating strategies for new and current student engagement. This is a functional supervisory position that is also charged with providing academic advisement to prospective, new, and current students.

Essential Job Functions:

Strategic:

  1. Provides leadership in the development and advancement of OSU-OKC's strategic advisement, retention, and enrollment goals.
  2. Develops, implements, and manages a current student engagement plan to promote persistence and completion.
  3. Actively participates in the student experience leadership team, campus committees, and professional organizations.
  4. Maintains effective relationships with academic partners across campus, collaborating on issues related to curriculum, academic advisement, university policies, etc. to help ensure a positive student experience and timely completion of degree programs.
  5. Works effectively and collaboratively with all segments of the university community to manage advisement and retention related operations and initiatives.
  6. Develops innovative proposals to engage the campus community in the process of student onboarding and continuous advisement.
  7. Articulates knowledge of advisement strategies and policies to internal and external colleagues and university partners.
  8. Assists with campus-wide recruitment, retention, and diversity efforts.

Operational:

  1. Effectively leads and supervises the Academic Advisement staff.
  2. Establishes priorities for departmental assignments and special projects, monitors progress, and reviews work to ensure timely completion and implementation.
  3. Administers the Academic Advisement budget.
  4. Collaborates with other student experience departments to develop, implement, and manage campus CRM initiatives and communications focused on student enrollment and retention.
  5. Identifies areas for improvement and implements solutions through continuous process improvement strategies.
  6. Collaborates with campus partners to identify, develop, and review key performance indicators, standard operating procedures, and process documentation; exhibits an understanding to this position's role in the campus semester plans.
  7. Provides oversight of departmental publications, marketing materials, webpages, and social media platforms.
  8. Responsible for the administration of departmental technologies, software, and student information system (Banner) modules.
  9. Maintains understanding of and compliance with policies and procedures related to educational records, registration, academic advisement, and graduation.

Functional:

  1. Serves as a functional academic advisor and performs advising duties.
  2. Assumes the duties of direct reports as needed.
  3. Participates in ongoing cross-training in order to provide recruitment outreach and admission/enrollment assistance as needed.
  4. Completes all mandatory training and participates in a minimum of two professional development each year.
  5. Performs other duties as assigned.

Reporting:

  1. Develops, implements, and manages assessment practices and prepares customized reports.
  2. Maintains and analyzes student data related to advisement services. Prepares reports to inform the development of campus and departmental strategies.
  3. Maintains and analyzes student advising data that informs and enhance persistence and completion strategies.
  4. Work closely with campus partners to ensure accuracy of data.

Position Qualification

Minimum Qualifications:

 Work Experience:

  • Minimum of five years progressively responsible work experience in college/university academic advising, student services, or enrollment management office.
  • Knowledge and experience serving as an academic advisor.
  • Experience working with student information system and customer relationship management software.
  • Experience working in a fast-paced and customer service rich environment.
  • Experience working in both collaborative/team environments and in positions that require individualized work with minimal supervision.

 Knowledge, Skills, and Abilities:

  • Ability to communicate diplomatically, clearly and effectively, both verbally and in writing to exchange information, give/receive instructions and respond to inquiries appropriately.
  • Exceptional problem solving and critical thinking skills required.
  • Accurate typing/data entry skills and demonstrated ability to work with attention to detail.
  • Ability to think objectively and interpret meaningful themes from quantitative and qualitative data.
  • Demonstrated coordination, planning, and organizational skills, managing multiple projects simultaneously.
  • ·     Ability to manage multiple priorities imposed by frequent deadlines, peak workloads, and public/student contact.
  • ·    Ability to work independently and also collaborate within a team environment while effectively managing multiple priorities and deadlines.
  • ·    Ability to thrive in a high-paced and dynamic environment.
  • ·     Strong experience working with office technologies including but not limited to: office computers, scanners, internet, Microsoft Office (Word, Excel, Outlook).
  • ·     Proficiency in computer applications, including databases, spreadsheets, customer relationship management software etc.
  • ·     Strong interpersonal skills and sensitivity to a multicultural environment in an effort to work and communicate effectively with all students, faculty, staff and community partners.
  • ·     Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the community.
  • Passion for assisting customers and representing the OSU-OKC and OSU brand with positivity and professionalism.
  • Demonstrated history of ethical and professional behavior.

 Education:

Bachelor's degree in Education or related field.

 Preferred Qualifications:

  • Master's degree in Education or related field.
  • Demonstrated leadership and management/supervisory experience.
  • Demonstrated strong focus on the student experience and student success.

 Working Conditions:

  • Must be able to work flexible schedule to include some evening and weekend hours.
  • ·    Work will be performed in an office environment with a significant amount of public contact, in person, by telephone, via email, and various communication platforms.

Physical Requirements:

  • Duties require extended periods of sitting, talking, and listening.
  • Duties require extensive use of computers, telephone, and other office equipment.
  • ·     Requires possible lifting of up to 25 lbs. (If an object weights more than 45 lbs., OSU-Oklahoma City requires this to be a two-person lift).
