  POSITION SUMMARY
Perform and/or oversee a variety of associated administrative, fiscal, personnel support, and planning activities, some of which require advanced Microsoft skills, to as assist with budget administration, equipment, inventory management, specialized recordkeeping, and database management, and/or specified information-gathering projects and tasks. Coordinate and facilitate projects, meetings, program functions, and/or special events. Continuation of this position is contingent upon funding allocations.

  DUTIES AND RESPONSIBILITIES:
1. Provide front desk coverage to welcome visitors and announce to appropriate personnel while maintaining a professional and courteous demeanor.
2. Answer incoming telephone calls and correspondences, ensuring professional etiquette.
     a. Determine purpose of calls/correspondence and forward to appropriate personnel, exercising proper judgment and responding accordingly.
3. Team Player, reliable, professional work behavior, and flexibility with good time management skills.
     a. By showing respect for managers/supervisors, co-workers, and clients by projecting a positive attitude by being courteous showing good judgment.
     b. Contribute to a team effort and accomplish related results as required.
4. Process collection of fees, receipt issuance, and assist with reconciliation and deposit of funds.
5. Prepare and assist with Gaming Employee and Vendor licensing/permits, to include but not limited to license application intake, and badge/credential issuance.
6. Enter data and assist in the maintenance of various files, including employee and vendor database status changes.
7. Conduct database queries and prepare reports or retrieve information, as requested.
8. Prepare correspondence, reports, forms, etc., from verbal and written instruction, including recordings.
     a. Review and edit correspondence and documents for correct grammar, punctuation, and spelling.
9. Establish and maintain effective filing, electronic storage, and retrieval systems/processes.
10. Receive, sort, log and route mail and internal/external requests.
11. Assist with scheduling events and planning activities for the multiple Gaming Commission departments.
12. Process requisitions and purchase orders, obtain approval as needed, as well as verify and process invoices for payment.
13. Monitor, order, and track office purchases; Maintain inventory of office supplies, keys, and departmental fixed assets.
14. Operate and maintain office machines, supplies, equipment, and computers; perform or coordinate general maintenance and repair.
15. Coordinate travel and training arrangements, as requested, and appropriately approved.
16. Schedule and maintain the Gaming Commission conference rooms and calendars.
17. Maintain a current Gaming Commission web page and accurate links.
18. Participate in continuous improvement teams, as assigned, and use continuous improvement tools for effective planning and improvement of customer service and production processes.
19. Assist in monitoring the budgets of multiple departments.
20. Practice excellent customer service skills at all times to include, but not limited to, addressing customer and employee needs courteously and promptly.
21. Adhere to all Tribal Personnel Policies and Procedures, Tribal Standard Operating Procedures, and Area and Program Strategic Plans and Policies.
22. Maintain strict department security, confidentiality, and quality to meet professional standards of the department.
23. The above duties and responsibilities are not an all-inclusive list but rather a general representation of the duties and responsibilities associated with this position. PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
1. Frequently sit, walk, and reach with hands and arms; occasionally stand; lift and/or move up to twenty-five (25) pounds.
2. Work is generally performed in an office setting with a moderate noise level.
3. A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment and annually thereafter as required.

STANDARD QUALIFICATIONS:
1. Knowledge of business English, proper spelling, grammar, punctuation, and basic math.
2. Knowledge of records management and basic accounting procedures, including budgeting.
3. Skill in operating various word-processing, spreadsheets, and database software programs in a Windows environment. Fluent in Microsoft Office.
4. Ability to communicate effectively in the English language both verbally and in writing.
5. Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.
6. Ability to become proficient learning new software.
7. Ability to represent the organization in a professional manner, building respect and confidence.
8. Ability to write clear and concise reports, memoranda, and letters.
9. Ability to handle multiple tasks and meet deadlines.
10. Ability to carry out instructions furnished in verbal or written format.
11. Ability to work independently with minimal supervision.
12. Must adhere to strict confidentiality in all matters.
13. Must be willing and able to obtain additional education and training.
14. Must pass a pre-employment drug screening. Must adhere to the Nation's Drug and Alcohol-Free Workplace Policy during the course of employment.
15. Must pass a background security check with the Oneida Nation in order to meet the Employment Eligibility Requirements, Tribal/State Compact and/or Oneida Nation Gaming Ordinance as they pertain to the position. A temporary license or Gaming License issued by the Oneida Gaming Commission is required as a condition of employment and continuing employment within the Oneida Nation's Gaming Division.
16. A valid driver's license or occupational driver's license, reliable transportation and insurance is required. Must obtain a Wisconsin driver's license or occupational driver's license within thirty (30) days of employment if applicant has an out-ofstate driver's license. Must be authorized as eligible to operate a Personal and Tribal vehicle under the Oneida Nation's Vehicle Driver Certification and Fleet Management Law prior to actual start date. Must maintain driver's eligibility as a condition of employment.

PREFERRED QUALIFICATIONS:

1. Associate Degree in Administration, Legal Studies/Paralegal, Business Management, or closely related field.
2. One (1) year of project management experience.
3. One (1) year of experience processing contracts and purchase orders.
4. One (1) year of experience with the Nation's Infinium software.

MINIMUM QUALIFICATIONS:

1. Must be an enrolled member of the Oneida Nation.
2. High School Diploma. HSED Diploma, or GED Certification.
3. Two (2) years of administrative experience; and/or an equivalent combination of education and experience may be considered.
