Description

At NorthBay Health, This position is responsible for medical staff administrative functions; credentialing and re-credentialing functions; departmental projects; accreditation, regulatory, and health plan surveys; and/or resource functions, as defined below. All staff members are expected to participate in surveys, to serve as a resource and have assigned departmental projects.  The Medical Staff Coordinators provide these functions for NorthBay Healthcare Group, Hospital and Medical Practices Division, and for the NorthBay Surgery Center VacaValley.

  • Medical Staff Support (administrative) functions as assigned: 

    • Provides administrative support to the Medical Staff Services Department and the Medical Staff Leadership.

    • Supports assigned medical staff meetings through preparation of agendas, minutes, reports, and correspondence. 

    • Responsible for the flow of information between departments, committees, and leadership.

    • Facilitates the work of assigned committees such as tracking unfinished business, and forwarding items through the medical staff approval process. 

  • Credentialing and Re-credentialing functions as assigned
    • Performs credentialing responsibilities in an expeditious manner to bring on new physicians, licensed independent practitioners (LIPs) and Allied Health Practitioners (AHPs), in accordance with department policies.

    • Responsible for all credentialing/privilege delineation and re-credentialing/privilege delineation processes ensuring that all credentialing/privileging criteria are met. Credentialing is accomplished per time requirements and all members and AHPs are re-credentialed every two years. 

  • Must have knowledge of the FPPE process as it relates to credentialing processes.  Departmental Projects as assigned:
    • Performs other administrative duties as assigned including but not limited to: maintaining medical staff and Emergency Department call schedules, preparing and tracking ballots, tracking policies through the medical staff approval process, and monitoring and tracking medical and AHP students.

    • Assists with special departmental projects as assigned. 

  • Accreditation, Regulatory, and Health Plan Survey and/or Audit functions:
    • Assists with accreditation, regulatory, and health plan surveys as assigned.

  • Resource functions:
    • Serves as a resource related to the Medical Staff Bylaws, Rules and Regulations and policies. 

    • Maintains familiarity with regulatory requirements such as The Joint Commission (TJC), National Committee for Quality Assurance (NCQA), Accreditation Association for Ambulatory Health Care (AAAHC), and California Department of Public Health (CDPH) Title 22 as they pertain to the functioning of the medical staff. 

    • Supports organizational mission, goals and values.

    • Demonstrates and models the NorthBay Way principles.

    • Credentialing, re-credentialing and privileging functions:

    • Coordinates the initiation, completion and maintenance of credential and re-credential files for NorthBay Healthcare Group (Hospitals, Medical Practices, Ambulatory Surgery Center) Medical Staff, AHP's and NBHG contracted and sub-contracted provider panel practitioners as per NBHG Medical Staff Bylaws and/or applicable policies and procedures and regulatory/accreditation standards, as assigned.

    • Accepts all applications to the medical staff or AHP staff and/or health plan staff and primary source verifies all information contained in the application in accordance with the NBHG Medical Staff Bylaws, Rules and Regulations, and Policies, ASC Bylaws and obtains activity/volume reports to support requested privileges, as applicable.

    • Ensures timely follow-through of applications to the appropriate Medical Staff Departments, Committees, and the Operating Committee or Board of Directors. 

    • For a delegated entity, ensures credentialing and re-credentialing processes are completed. 

    • Maintains ongoing system for ensuring reappointment of medical staff members, allied health practitioners for NBHG membership, ASC and/or health plan membership, according to the time schedule and in accordance with bylaws and policy requirements.  Re-credentials providers every two years and timelines cannot exceed two years.

    • Accepts and processes through the appropriate medical staff departments and committees all requests for additions/deletions of privileges and/or changes in staff status performing required verifications.

    • Maintains QI/activity file for each practitioner for use at time of re-credentialing.

    • Maintains medical staff software database assuring accuracy and completeness of data and generates reports as requested.

    • Provides requested information to outside facilities as permitted by provider and policies.

    • Administrative Functions:

    • Provides administrative and clerical support for the medical staff functions and committees, including but not limited to agenda development, formulation of minutes, distribution of notices, report preparation, correspondence preparation and delivery, meeting management, etc. as assigned.

    • Departmental Projects:

      • Responsible for assigned projects. 

        • Provides input for the development of policies and procedures for the Medical Staff and Medical Staff Department, as assigned.

    • Accreditation, Regulatory, and Health Plan Enrollment:

      • Maintains familiarity with accreditation and regulatory requirements as applicable to the medical staff and assists as requested in accreditation, regulatory, and/or health plan survey processes.

    • Resource functions:

      • Serves as a resource to the medical staff members, directors, and administrators related to functions of the medical staff services department



Qualifications

  1. Education:  High school graduate or equivalent preferred.  Associates Degree (A.A) or 5 years of experience may substitute for the AA.  Medical terminology course/training preferred.

  2. Licensure:  None

  3. Experience:  Minimum of three to five years of experience in a healthcare office environment supporting administrative functions is required. Minimum of two years of experience supporting medical staff leadership and credentialing experience preferred.

  4. Skills:  Must possess a high degree of organizational skills and attention to detail. Demonstrated experience in managing multiple priorities required. Excellent oral and written communication skills required.  Knowledge of Standard English with effective writing and editing principles and practices.  Ability to type 40 words per minute.  Ability to work independently on complex and confidential tasks, compose effective and accurate correspondence. Must possess the ability to work independently and solve problems in a busy office environment.  Requires high level of independent decision making and problem solving skills. Requires mastery of software applications (i.e. Word, Excel, and PowerPoint) and dictation equipment.  Credentialing database management experience, desirable. Professional appearance and demeanor.

  5. Standards of Performance: Demonstrate performance by adhering to established policies and procedures and exhibiting the defined characteristics associated with attendance and punctuality.

  6.   7. Hours:  8-hour day shifts with 30 minute meal break, Monday through Friday.  Start time varies as required by business needs as established by schedule. Flexible hours as required by job duties and business needs. Occasional attendance required at evening meetings usually 2 to 8 times per year.

  8. Compensation: $34.00 - $41.00 ( Max rate is commensurate of 20+ years of experience)
