NASCAR Event Management seeks a talented professional to join in the position of Administrative Assistant, Transportation. This is a part-time role.

The Administrative Assistant, Transportation supports the daily operations of NASCAR transportation by providing high-level administrative and logistical support for the transportation of equipment and personnel.

Duties include but are not limited to:

  • Provide administrative support to the Transportation and Fleet Management teams supporting NASCAR race operations

  • Assist with scheduling and coordination of transport for haulers, equipment, and support vehicles across national race schedules

  • Maintain accurate records related to fleet assets, driver assignments, mileage, fuel usage, maintenance, and inspections

  • Prepare and track transportation documentation including trip logs, permits, credentials, and compliance records

  • Coordinate communication between drivers, shop personnel, vendors, and track officials

  • Support travel logistics for drivers  as it relates to fleet movement and event schedules

  • Process invoices, purchase orders, fuel cards, tolls, and expense documentation for transportation operations

  • Maintain fleet management databases and reporting tools to support operational and performance analysis

  • Assist with compliance documentation related to DOT regulations, CDL requirements, safety training, and race-event standards

  • Support race-weekend logistics, including last-minute changes, emergency requests, and time-sensitive problem resolution

  • Maintain strict confidentiality regarding team operations, schedules, equipment, and competitive information

  • Assist with post-race reporting, audits, and continuous improvement initiatives

  • Performs other duties as assigned.

  • Approximate travel: 10%

Required skills/experience:    

  • One-year certificate from college or technical school; or one to three years administrative professional experience and/or training; or equivalent combination of education and experience.

  • Proficient in all Company software and hardware. Additional computer skills required are proficiency with web-based software applications, access control software applications and internet search engine software.

  • Ability to maintain confidential information.

  • High level of customer service skills.

  • Excellent organizational and multitasking abilities.

  • Strong attention to detail and accuracy.

  • Excellent communication and interpersonal skills.
