Job Description:
The Sales & Marketing Coordinator plays a crucial role in supporting the overall sales and marketing efforts of the Company. This position is primarily responsible for providing administrative assistance and community outreach support to the Sales and Marketing teams. The ideal candidate will oversee sales and marketing tasks, ensuring seamless integration between sales and marketing efforts, including responsibility for the following key areas: managing lead and policy information, generating reports and analytics for campaign tracking and performance, coordinating sales, marketing, and community events, managing sales and marketing collateral, proving translation of sales and marketing materials, and offering support to agents and brokers. The ideal candidate is organized, detail-oriented, self-motivated and eager to contribute to the growth of our company.
Key Responsibilities:
Sales Coordination:
Assist the sales team with lead generation, prospecting, and follow-up activities.
Manage the CRM lead tracking system, including overseeing agent lead accounts, lead routing, campaign tracking, reporting, and ensuring timely receipt of lead dispositions from agents.
Review the Daily Opportunity report to ensure proper assignment of leads.
Coordinate sales events, including timely receipt of monthly calendar from agents, updating the CRM, Sales Calendar, and communicating with the Compliance and Marketing Manager.
Investigate, resolve and track enrollment issues and questions sent by the enrollment team via the Follow-Up email.
Process new prospects sent to the Sales Support email by ensuring all relevant details (name, phone number, and zip code) are included, entering the prospect into the CRM, and assigning it to the appropriate agent based on territory.
During AEP / OEP, track and manage plan changes to ensure they are processed within the designated time frames.
Enter BRC's (Business Reply Cards) into the CRM.
Manage weekly fulfillment processes.
Conduct online enrollment outreach to new members, including benefit review, plan utilization, and assistance with prescription and provider look-up.
Perform weekly application reconciliation with QuotIt, FMO's, and the Broker Portal
Provide support to external brokers with inquiries regarding benefits, enrollments, and related matters.
Enter new policies into the CRM each month.
Perform a monthly audit of the website's sales sections and materials.
Understand the health plan benefits and Medicare rules and regulations to assist prospects, agents and brokers.
Marketing Coordination:
Provide event support for both large and small community-based events
Compile and organize analytics from marketing platforms such as Google Analytics and MailChimp
Proofreading and translation support for marketing materials in both English and Spanish to ensure accuracy and consistency
Process small marketing orders, including business cards, envelopes, and additional pre-approved design materials.
Assist with sending Welcome Kits and other materials to members / patients
Administrative Support
Manage sales and marketing collateral, including inventory tracking and restocking.
Support in-house mailing programs, ensuring timely and accurate distribution.
Track and reconcile expenses, including monthly credit card reconciliation.
Qualifications:
English and Spanish oral, reading, writing proficiency mandatory - as this is a business necessity.
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and CRM software (e.g., Agent Cubed).
Strong communication skills, both written and verbal.
Excellent organizational skills and attention to detail.
Ability to triage, multitask and manage multiple projects in a fast-paced environment.
Demonstrate flexibility and the ability to pivot between tasks while staying focused on key goals.
Ability to take direction from multiple colleagues
Works well independently as well as collaboratively, and takes initiative to identify project improvements
Able and willing to work adjusted hours, such as weekends and evenings, when necessary for events or presentations

Knowledge of social media platforms and digital marketing trends is a plus.

Compensation
$26.00 an hour
Assigned Work Hours:
Monday - Friday, 8:00am - 5:00pm
