General Summary of Position
Responsible for the coordination planning evaluation and monitoring of the administrative staff within the Departments' Faculty Medical Practice and Fellowship program. Manages and monitors compliance of the ACGME Program Requirements and coordinates fellowship activities.
Primary Duties and Responsibilities
- Assists in the day-to-day management and monitoring of compliance of the ACGME Program Requirements. Assists inthe development of department goals objectives policies and procedures.
- Organizes program accreditation activities including assisting Program Directors with complete Program Information. Provides information for ACGME accreditation. Maintains current knowledge of all Residency Review Committee requirements in specialty. Identifies areas of noncompliance.
- Contributes to the achievement of established department goals and objectives and adheres to department policies procedures quality standards and safety standards. Complies with governmental and accreditation regulations.
- Assists in the development of capital and operating budget and ensures that department operates within budget. Maintains tracks and controls all department expenses and purchases for department.
- Assists in the development of department goals objectives policies and procedures. Ensures compliance with hospital/facility policies and procedures and governmental and accreditation regulations. Receives investigates and reports on various administrative problems offering suggestions for resolution.
- Organizes fellowship activities including department orientation graduation and retreats. Oversees the departments' fellowship verification and credentialing process. Notifies GME of new rotations out of department and prepares documents affiliation letters for private offices and rotations. Assists Program Director in the collection of FREIDA data. Provides IRIS Medicare data as requested. Coordinates department research symposium as applicable.
- Assists with meetings conferences seminars department committee activities department training classes andactivities for training. Schedules interviews and appointments; travel arrangements. Prepares agenda minutes andmemorandum materials for professional staff for business meetings and fellowship related meetings. Coordinates andarrangements related to division seminars and special meetings.
- Oversees coordination of conference speakers room reservations and audiovisual materials for division conferences. Participates in activities to support functions of the Medical Staff. Collects analyzes and reports on departmental statistics regarding efficiency and effectiveness of service delivery. Develops effective systems for data collection. Gathers data from departmental records. Assists in preparation of administrative reports statements rosters and related documents.
- Oversees the fellowship recruitment process including the selection process. Active participant on the RecruitmentCommittee. Works with Program Director to provide necessary information for website. Assists Program Director indeveloping recruitment strategy based on prior year data.
- Serves as liaison for the Medical Staff and outside agencies relating to credentials verification issues and promotion of communication and effective working relations. Ensures that all new faculty have business cards lab coats name plate for wall name strips for directory signs prescription pads beeper Human Resources I.D. badge parking privileges dictation numbers and access to computer phone and mail. Coordinates new faculty's' office moves. Receives directs and/or responds to physician problems complaints and suggestions.
- Participates in multidisciplinary quality and service improvement teams as applicable. Participates in meetings and on committees and representing the department and hospital in community outreach efforts.
Minimal Qualifications
Education
- Bachelor's degree required and
- knowledge of State Federal and other outside regulatory agencies; required and
- knowledge of the principles and practice of hospital medical staff credentialing medical education and hospital medical staff issues required
- One year of relevant education may be substituted for one year of required work experience.
Experience
- 3-4 years Experience as a program administrator/coordinator of a residency training program preferred and
- Experience in office operations and financial management preferred
Licenses and Certifications
- No special certification registration or license required
Knowledge Skills and Abilities
- Demonstrated knowledge of institutional requirements.
- Leadership ability problem-solving skills and use of independent judgment.
- Working knowledge of various computer software applications.
- Verbal and written communication skills.
This position has a hiring range of
USD $28.76 - USD $48.96 /Hr.
