General Summary of Position
Plans manages and coordinates all administrative/billing operations for the site(s) department/office/clinic. Implements and enforces MedStar's policies and procedures pertaining to personnel federal and state regulations daily operations and support of medical care.

Primary Duties and Responsibilities


  • Contributes to the achievement of established department goals and objectives and adheres to department policies procedures quality standards and safety standards. Complies with governmental and accreditation regulations.
  • Provides daily oversight and management for the daily operations of the department(s). Is responsible for creating and maintaining a professional environment in the department and the practice as well as between the providers and the health care system. Adjusts operations as needed to maintain peak performance.
  • Is responsible for department's financial performance including revenue cycle activities. Partners with Vice President Director of Business Operations Physician Leadership and Finance to prepare annual budget; ensures practice is meeting monthly budget targets and works with leadership to course correct as necessary. Prepares and monitors monthly statistical reporting of key operations and financial factors for the Department. Reviews/analyzes financial documents and data for accuracy and completeness
  • In accordance with guidelines oversees and leads revenue cycle and billing operations for the Department(s). Serves as primary accountable party for ensuring Department and provider compliance with policies/procedures related to chart finalization provider documentation and any other billing/RCM-related requirements established by the organization. Maintains accountability for improvement in Department's revenue cycle KPIs.
  • Ensures stakeholder satisfaction with the Department's performance on all levels. Responds timely to stakeholder concerns and requests for information. Establishes a continuous improvement work environment. Identifies opportunities for system and process improvements and drive change through targeted initiatives. Recommends develops and updates strategic long-range and short-range plans to support the clinical and academic mission of the Department.
  • Is responsible for compliance with all applicable environmental and regulatory policies and procedures for Department's operations including quality and safety related tasks. Fosters and enforces MedStar Code of Conduct and ensures internal policies and procedures are followed; implements policies and procedures changes accordingly. Supports and partners with Office of Corporate Business Integrity to educate and inform associates and providers of compliance standards and ensures all associates complete annual training. Appropriately notifies Compliance and/or Legal on issues regarding compliance privacy risk management and/or legal issues.
  • Provides administrative support to the local department Chair(s) such as meetings calendar management and other administrative tasks as requested by the Chair(s). Establishes and maintains appropriate levels of equipment office and medical supplies to support the Department. Under the direction of the leader coordinates and leads meetings with the providers on a regular basis to keep team informed of MedStar goals and policy changes.
  • In conjunction with local scheduler (where applicable) and the scheduling department monitors provider scheduling practices and staffing levels to ensure Departmental and financial goals are met. Works to minimize extra shifts to ensure budgetary goals are met.
  • Participates in the selection of staff trains develops evaluates and supervises support staff for all office operations. Ensures staff is properly trained and in collaboration with the provider(s) identifies the need for additional skills training for all associates.
  • Leads and coordinates all onboarding activities for new providers in conjunction with centralized functions (HR Credentialing Scheduling). Prepares the Department for the addition and departure of providers; ensures smooth operational transitions and onboarding activities.
  • Oversees and manages all payroll functions for the Department in accordance with MedStar and policies and guidelines.
  • Serves as primary point of contact for managing expense reimbursements for members of the Department. In conjunction with Finance maintains meticulous records to ensure providers are reimbursed according to policy.
  • Actively encourages associate growth and development. Ensures all providers and staff complete all MedStar required training and SITEL's prior to annual deadline. Adheres to the MedStar performance management cycle to evaluate and actively manage associate performance.
  • Fosters staff engagement and productivity. Develops executes and monitors Action Plans related to Associate Engagement Surveys.
  • Under direction of the leader and if applicable supports onboarding and administrative functions related to students and trainees in the Department.
  • Is responsible for traveling between facilities to ensure the duties of this role are fulfilled in multiple hospitals and/or ambulatory surgery centers.
  • Regularly generate quality/performance/patient experience dashboard reports.
  • Minimal Qualifications
    Education
    • Bachelor's degree in Health Care Administration or related field preferred or
    • One year of relevant education may be substituted for one year of required work experience.
    Experience
    • 3-4 years Healthcare experience required and
    • 1-2 years 2 years general management experience required and
    • 1-2 years In a hospital setting preferred
    Licenses and Certifications
    • No special certification registration or licensure required
    Knowledge Skills and Abilities
    • Excellent organizational and management skills.
    • Excellent customer service and verbal and written communication skills.
    • Demonstrated ability to set and manage multiple priorities.
    • Demonstrated leadership skills.
    • Knowledge of practice management systems preferred.
    • Ability to comprehend data for use in making daily operational decisions and interacting with physicians and managers.
    • Organized and able to handle multiple projects at a time.
    • Proficiency with Microsoft Office and electronic medical record software.

    This position has a hiring range of

    USD $70,428.00 - USD $131,310.00 /Yr.
