Title and Summary

Executive Assistant We are seeking an exceptional Executive Assistant to partner with the Division President (DP), enabling the delivery of the company's strategic, commercial, and leadership agenda across Australia and the broader region.

This role is for a high caliber professional who thrives at the centre of complexity—someone who brings judgement, foresight, and precision, and who can operate seamlessly across the Board, Executive Leadership Team, customers, regulators, and global partners. You will act as a trusted extension of the DP, ensuring focus, flow, and effectiveness at the highest level of the organisation.

You will be the DP's strategic and operational partner: orchestrating priorities, driving executive cadence, preparing high impact content, leading ad hoc initiatives, coordinating Board and executive forums, and ensuring world class execution across travel, engagements, communications, and events.

Core role & impact

• Enable DP effectiveness: Protect time, focus, and energy so the DP can concentrate on the most critical strategic, commercial, and leadership outcomes.
• Run the enterprise rhythm: Drive the DP's operating cadence—calendar, meetings, materials, decisions, actions, and follow through.
• Create executive clarity: Prepare concise, high-quality briefs, presentations, and insights that accelerate decision making and execution.
• Deliver beyond the desk: Lead ad hoc initiatives and priority tasks on behalf of the DP, owning delivery end to end and ensuring outcomes are met to a high standard.
• Orchestrate excellence: Deliver seamless, high touch experiences for Board members, executives, customers, partners, and visitors.
• Act as a trusted confidant: Operate with absolute discretion, sound judgement, and calm authority in sensitive and high stakes situations.

Key responsibilities

Executive support & prioritisation

• Provide expert diary and priority management for the DP, balancing strategic, operational, internal, and external commitments across global time zones.
• Act as gatekeeper and triage point for requests, anticipating needs and proactively preparing the DP for engagements.
• Exercise impeccable judgement, confidentiality, and discretion in handling sensitive information and interactions.

Board, meetings & operating cadence

• Coordinate Board and Executive Leadership Team meetings, including agendas, briefing packs, papers, logistics, and follow ups.
• Plan and manage key internal and external meetings, ensuring clear objectives, decision readiness, and action tracking.
• Support executive visitors, leadership offsites, and forums, managing logistics and materials end to end.
• Enable effective executive communications, leadership routines, and ways of working across the organisation.

Ad hoc projects & end to end delivery

• Own and deliver a range of ad hoc projects, DP sponsored initiatives, and priority workstreams from scoping through to execution and closure.
• Translate DP direction into clear actions, timelines, and outputs; coordinate stakeholders and manage dependencies to ensure delivery.
• Prepare materials, analysis, and progress updates to support decision making and keep the DP informed of status, risks, and outcomes.
• Step in to manage sensitive, ambiguous, or time critical tasks requiring autonomy, discretion, and sound judgement.
• Identify opportunities to improve processes, workflows, and executive ways of working through project-based problem solving.

Presentations, research & reporting

• Support the development of DP level presentations, talking points, and narratives for Board meetings, customer engagements, and internal forums.
• Research and synthesize information as required to support strategic discussions and executive decision making.
• Prepare routine and ad hoc reports with a strong focus on accuracy, clarity, and executive relevance.

Travel, expenses & logistics

• Arrange complex domestic and international travel for the DP, including visas, detailed itineraries, and contingency planning, in line with corporate policy.
• Manage expense reconciliation and submissions accurately and efficiently using Mastercard systems.

Stakeholder, customer & event engagement

• Build trusted relationships with Board members, senior executives, customers, partners, and cross functional leaders.
• Coordinate high profile customer and partner visits, and support major internal and external events, including on the day execution.
• Collaborate closely with Executive Assistants and Business Assistants globally to ensure a seamless, aligned experience across regions.

Skills & experience

• Proven success as a senior Executive Assistant supporting a CEO, Managing Director, or equivalent C suite leader in a complex, fast paced environment.
• Demonstrated ability to independently run ad hoc projects and deliver complex tasks end to end with minimal supervision.
• Strong executive presence with the ability to engage confidently with Board members, senior leaders, customers, and external stakeholders.
• Exceptional planning, organisation, and prioritisation skills, with the ability to manage competing demands under pressure.
• Highly proactive and solutions oriented, with the ability to anticipate issues and remove obstacles before they arise.
• Clear, concise communicator with strong business judgement and attention to detail.
• Advanced proficiency in Microsoft Office (Outlook, Teams, PowerPoint, Excel, Word), Co-Pilot; experience with expense/travel systems.
• Comfort operating across technology enabled, innovative, and globally distributed organisations.
