Job Summary

The Gift Shop Purchasing Coordinator needs a sense of retail, product trends and analytical experience. Assist with annual development of merchandise and stock plans with manager. Provides work leadership for gift Shop Assistants and Volunteers. Responsibilities include purchasing, processing, displaying and rotating merchandise, stock room organization, work often enough in shop to be familiar with needs and wants of customers.

Minimum Qualifications
  • Minimum Education: High School Diploma or Equivalent
  • Minimum Years of Experience:  2 Years in retail/customer service
  • Substitutable Education & Experience:  2 Years of experience can be substituted for a 2 Year Degree
  • Required Certifications/Licensure:  None
  • Required Training:  Emphasis on purchasing and merchandise design;  Mid-level computer skills required with emphasis on Excel, Word and Point of Sale;  Ability to function in a team environment;  Excellent customer service skills.
Essential Functions
  • Ability to evaluate stock levels and customer requests in order to maintain appropriate inventory levels.  Works with manager to place orders and meet with salesmen.
  • Develops new sources for merchandise and makes maximum efforts to maintain comparative buying to ensure the lowest possible cost of merchandise.
  • Develops basic stock ordering plan for department.
  • Ability to evaluate sales history and requests using judgment and prudent purchasing concepts to select merchandise.
  • Responsible for purchasing merchandise for designated departments and remains within budget. The gift shop manager should approve all buying plans.
  • Assists with scheduling appointments with salesmen as needed and arranging for orders to be delivered on a timely basis.
  • Responsible for unpacking, verifying orders and preparing merchandise for sale.
  • Responsible for rotation of staple merchandise on a weekly basis. Assist with rotation of other stock as needed.
  • Responsible for design of creative and attractive displays to attract customers. Arranges special displays to highlight monthly promotions that ensure maximum customer traffic.
  • Travels to major market at least twice a year. Ability to project stock needs and coordinate  merchandise arrival with budget and seasonal needs.
  • Purchases seasonal decorations for the Auxiliary to be used in the hospital. Assists with coordination of decorations throughout the hospital.
  • Responsible for the closing of the shop each day. Prepares payroll and credit card tickets for processing. Wraps coins and collects cash from each drawer and places all monies and receipts in safe. Closes registers and assures that shop is locked and secure before leaving.
  • Maintains assigned markup standards.
  • Maintains position of the department in overall shop sales.
  • Responsible for maintaining accurate inventory of merchandise and supplies in the gift shops.
  • Assist with orientation and training/utilization of additional gift shop assistants and volunteers as needed.
  • Open to suggestions for merchandising and buying from the manager.
  • Works often enough in the shop as a clerk to be familiar with the needs and wants of customers as well as their comments and requests. Remains current on policies and procedures that pertain to sales transactions. Able to assists volunteers and gift shop assistants with questions about point of sale system.
  • Responsible for stock room organization. Cleans and dusts shop as needed.
  • Assists with taking inventory in the shops.
  • Demonstrates communication knowledge/skills necessary to provide services to the age of patients served.
  • Assists manager or other authorized personnel with related duties as needed.
  • Performs all other duties as assigned by authorized personnel or as required in an emergency, e.g. fire or disaster.
  • Maintains optimistic and professional image and exhibits excellent customer relations skills to patients, visitors, physicians and co-workers. Shows courtesy, compassion and respect. Conforms to Service Excellence policy and “House Rules.”
  • Participates in quality and improvement activities.
  • Assists and supports the Auxiliary as requested by the manager.
  • Demonstrates receptiveness to change and maintains positive outlook throughout change process.
  • Contributes to department effectiveness by planning and organizing work to be timely and accurate.
  • Cost effectively utilizes resources and appropriately accounts for supplies and equipment.
