Position Summary:

The Project Administrator plays a critical role in supporting the Commercial organization by providing day-to-day coordination across marketing and sales operations, project execution, and administrative functions. This role blends commercial coordination with a strong administrative and project management backbone, enabling seamless execution of purchase orders, events, communications, and cross-functional initiatives.
The ideal candidate is highly organized, proactive, and comfortable operating in a fast-paced, matrixed environment. They bring strong project coordination skills, excellent attention to detail, and the ability to manage multiple priorities while serving as a central point of connection across stakeholders.

This is an onsite role working in Blue Ash, OH.



Key Responsibilities:
 
Commercial Coordination

  • Purchase Order Management: Create, process, and track purchase orders for marketing and sales operations using ARIBA; ensure compliance with policies, maintain accurate records, and partner with finance/procurement to resolve issues.
  • Event Coordination: Plan and execute small customer and internal events (educational sessions, demos, meetings), including logistics such as venues, catering, invitations, schedules, and on-site support as needed.
  • Health Care Practitioner Communications: Serve as a point of contact for HCPs, coordinating schedules and facilitating clear, timely communication related to marketing initiatives, events, and educational opportunities.
  • NDA Management: Track, process, and coordinate execution of non-disclosure agreements with internal and external stakeholders.
Project & Operational Support
  • Project Management Support: Coordinate commercial and marketing projects from initiation through completion, including timelines, task tracking, follow-ups, and delivery of milestones.
  • Cross-Functional Coordination: Partner with Marketing, Sales Operations, R&D, and other internal teams to ensure alignment, documentation flow, and timely execution of initiatives.
  • Administrative Backbone: Provide general administrative and operational support, including meeting coordination, calendar management, documentation organization, and preparation of materials.
  • Expense Management: Support expense processing and reconciliation using Concur, ensuring timely and accurate submissions.
Communication & Presentation Support
  • Support preparation and refinement of PowerPoint presentations and materials for internal and external audiences, ensuring content is clearly structured and professionally presented (design skills are a plus but not required).


Required Qualifications
  • Excellent organizational, prioritization, and time management skills with the ability to manage multiple workstreams concurrently.
  • Strong written and verbal communication skills.
  • Experience with purchase order systems and basic financial processes (ARIBA experience preferred).
  • Demonstrated ability to coordinate events and manage logistics.
  • Project coordination or project management experience, including planning and execution.
  • Comfortable interacting with commercial teams and external partners, including health care professionals.
  • Proficiency with Microsoft Office Suite, especially Outlook, Excel, and PowerPoint.
Preferred Qualifications
  • Experience supporting cross-functional teams in a matrixed organization.
  • Familiarity with Concur or similar expense management platforms.
  • Prior experience in marketing operations, sales operations, or commercial environments.
  • Exposure to contract or NDA management processes.
