Administrative Specialist Role & Responsibilities Role Overview:
This position assists the site's TA Services Team by providing effective management systems and TA technical/documentation support. The ideal candidate is a self-starter who requires minimal guidance and is willing to work extended hours, including weekends or shift changes during TA execution.
Required Skills: - Proficiency in, or ability to quickly learn: - Excel - Word - Outlook - Microsoft Access - Purchasing systems - WebMOC - OPD - Fileshare management - WebEDMS administration - Ability to independently resolve issues through electronic data and visual observations - Demonstrated leadership and problem-solving abilities - Excellent written, verbal, and interpersonal communication skills - Strong organizational skills - Able to thrive in a team environment - Willingness to follow established processes - Effective collaboration for both long-term and urgent problem resolution
Operational (OP) Responsibilities: - Onboard and off-board employees - Perform all clerical duties for TAS, including ordering, receiving, and distributing office and personnel supplies - Complete expense reports for TAS activities - Order uniforms for both existing and new employees - Organize and schedule TAS department meetings and functions - Arrange meals for department and specific turnaround meetings - Order safety supplies and other necessary items for turnarounds - Enter "Near Misses" for turnarounds - Serve as building point of contact - Help facilitate and record meeting minutes/action items for teams, including: - EH&S Steering Team - EH&S Department Meetings - TA Services Team Meetings - TA Execution Command Center Meetings - TA Execution Contractor Touchpoint Meetings - TA Steering Team Meetings
Technical/Documentor Responsibilities: - Manage OPD (ODMS) tool for compliance tracking - Gather and upload all plant recharge data promptly - Serve as TAS MOC and WebEDMS Administrator - Organize, order, and deliver milestone meals during TA execution - Track compliance reminders and related tasks - Print and create/upload electronic job packages for TA's - Convert job procedures to PDF format as needed - Act as Blue Vision POC (for badging) - Manage iPads and other mobile devices for turnaround use - Track headcounts for turnarounds - Support future responsibilities: - SES Creation - PO Requests - File Share Management
