Description

We are seeking a Clinical Research Receptionist to provide excellent front-desk support in a research facility. The ideal candidate will be responsible for greeting patients and external visitors, handling phone calls, and ensuring the smooth day-to-day administrative operations of the clinic. This candidate must be highly organized, enjoys working with people, and wants to be part of a dynamic clinical team.

Location: New Haven, CT
Hours: 8:00AM-4:00PM, Monday through Friday
Pay rate: $24/HR

Key Responsibilities:
Clinic Opening:

  • Open and prepare the reception and clinic areas.
  • Turn on lights, TVs, white-noise machine, and other equipment.
  • Set up the patient sign-in sheet while maintaining HIPAA compliance.
  • Review the daily patient and visitor schedule.
  • Attend the team Clinic Huddle meeting via Zoom at 8:30 AM.
During Business Hours:
  • Greet all patients, caregivers, and visitors promptly and ensure they follow check-in procedures.
  • Ensure all visitors are accompanied by clinic staff before entering secure areas.
  • Provide intake forms and patient name bands upon arrival.
  • Notify the assigned clinic staff of patient arrivals via Microsoft Teams.
  • Answer incoming phone calls, take messages, and direct inquiries appropriately.
  • Accept, sort, and distribute mail and deliveries.
  • Triage emergency, facility, and IT or finance-related inquiry calls appropriately.
  • Complete visit confirmation calls for upcoming appointments.
  • Supervise vendors requiring access to the clinic areas and blood lab.
  • Maintain and restock office and kitchen supplies.
  • Assist with study chart assembly and other assigned tasks.
Prior to Clinic Closing:
  • Prepare and secure patient documents for the next business day.
  • Disinfect and clean reception, team station, and blood lab areas.
  • Restock and clean reception, kitchen, and conference areas.
  • Ensure all clinic areas are secured, lights are turned off, and required documents are locked away.
Required Qualifications & Skills:
  • Previous experience in a medical or research clinic setting.
  • Strong interpersonal and communication skills to interact professionally with patients and staff.
  • Ability to multi-task and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office (Outlook, Teams, Word, Excel) and general office equipment.
  • Strong attention to detail and commitment to handling personal health information aligned with HIPAA compliance.
  • Ability to work independently and take initiative.
  • Demonstrated professional judgement to represent the company upon visitor's initial arrival to the facility.
  • Excellent organizational and problem-solving skills.
