Administrative Assistant to the Chief Technology Officer (CTO)

Location: On-Site. New York City

Employment Type: Full Time

Compensation Range: $70,000 to $80,000 USD

Reports To: Chief Technology Officer

Role Summary

The Administrative Assistant to the CTO provides core operational and administrative support that enables the Technology function to operate efficiently and with focus. This role is designed for an administrative professional with 3 to 5 years of experience who can manage complexity, prioritize effectively, and operate with discretion in a fast-paced, executive environment.

The position is responsible for calendar and meeting management, communications coordination, documentation, light project support, and budget and expense tracking. The role acts as a gatekeeper and operational anchor, allowing the CTO to focus on technology strategy, innovation, and business alignment.

Key Responsibilities

  • Executive and Calendar Support
  • Manage a complex and frequently changing executive calendar.
  • Schedule and coordinate internal leadership meetings and external engagements.
  • Prioritize meeting requests and communications based on business impact.
  • Prepare agendas, meeting materials, and follow-up summaries.
  • Handle end to end travel logistics
  • Meeting and Leadership Coordination
  • Coordinate Technology Leadership meetings and cross-functional sessions.
  • Prepare slide decks, action trackers, and meeting notes using Microsoft tools.
  • Track decisions, action items, owners, and deadlines.
  • Communications and Information Flow
  • Manage the CTO's email and communication flow.
  • Draft routine correspondence, internal updates, and summaries.
  • Serve as a point of coordination between the CTO and internal stakeholders.
  • Handle sensitive and confidential information with discretion.

Project and Operational Support
  • Support technology initiatives such as product updates, system rollouts, and internal process improvements.
  • Track timelines, deliverables, and dependencies for assigned initiatives.
  • Maintain organized documentation within SharePoint and Teams.
  • Budget and Administrative Management
  • Process expenses, invoices, and purchase requests.
  • Track departmental spending and maintain basic budget summaries.
  • Organize vendor documents and renewal information.

Tools and Platforms
  • Use Microsoft 365 applications including Outlook, Teams, SharePoint, Excel, PowerPoint, and Copilot to support daily work.
  • Maintain organized digital workspaces and documentation standards.

Required Qualifications
  • 3 to 5 years of experience in an Administrative Assistant or similar role.
  • Experience supporting senior leaders or leadership teams.
  • Strong proficiency with Microsoft 365, including Outlook, Teams, SharePoint, Excel, and PowerPoint.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • High attention to detail and follow-through.
  • Demonstrated discretion and professionalism when handling confidential information.
  • Familiarity with basic expense tracking and budgeting processes.

Success in this role requires strong organization, sound judgment, responsiveness, and a proactive mindset. The ideal candidate anticipates needs, reduces friction, and brings structure to the CTO's day-to-day operations without overengineering the role.
