Note: The compensation range noted above represents the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries will be determined based on the candidate#s relevant experience. No employee will be paid below the minimum of the range. Valley Health Systems, Inc., the parent company of Holyoke Medical Center, provides a broad range of physician services in offices conveniently located throughout Western Massachusetts.# Holyoke Medical Center is an independent community hospital that has served the healthcare needs of the Pioneer Valley for over 125 years.# We continue to grow and address the needs of our community through quality and patient-centered care.# Our team is seeking an experienced Office Assistant to float between the various physician practices. This individual will assist in coordination of the office for physician practice, patient care and provide clerical support.# Overview of Responsibilities include but are not limited to: Greet and register patients, verify demographic and insurance information, and confirm required referrals. Collect and document co-pays, fees, insurance information, and required patient forms. Provide friendly assistance to patients, answer questions clearly, and communicate any appointment delays. Manage patient check-out by collecting encounter forms, scheduling follow-up appointments, and coordinating diagnostic testing. Enter outpatient orders and follow-up reminders accurately into electronic systems. Answer phones, route calls, and take accurate messages. Schedule patient appointments, physician activities, and staff meetings. Pre-register scheduled appointments and prepare daily appointment schedules and patient charts. Maintain and organize patient records, including filing labs, medical information, and charts. Track referrals, appointments, and no-shows for proper follow-up. Sort and distribute mail and maintain physician orders and required paperwork. Maintain office supplies and equipment and assist with inventory and restocking. Communicate effectively with patients, families, and staff while keeping supervisors informed of operational needs. Record staff meeting minutes and participate in required trainings or meetings. Qualifications: Education:#High School Graduate or Equivalent# Experience: Experience working with third party payers and working knowledge of ICD-9 and HCPC coding preferred; two years of experience in a physician#s office or similar environment preferred Special Aptitudes # Activities:#The ideal candidate demonstrates strong interpersonal and customer service skills, with the ability to communicate effectively and follow instructions accurately. This role requires strong organizational abilities, attention to detail, and proficiency in computer use, typing, transcription, and filing. The ability to manage multiple tasks efficiently is essential, and bilingual skills in English and Spanish are preferred.
