Description
Reporting to the Manager Facilities – Facility Projects, this role plays a pivotal part in supporting Harbor Freight's new store opening and existing store project teams, as well as the broader Retail Facilities team. The position is responsible for driving consistency and excellence across project documentation, including creating and maintaining program playbooks, project orders, labor tracking, reporting, and document management. As a highly collaborative, cross-functional role, this position partners closely with vendors, internal stakeholders, and store teams, while navigating a range of project management systems and tools. It is instrumental in ensuring accurate reporting, seamless communication, and effective coordination across multiple projects.

Duties and Responsibilities
- Project Payroll Reporting: Maintain and report all project travel reporting for team, monthly reporting for all travel expenses, project labor transfers, missing hours and timecard timely submittals in conjunction with the Project Managers. 30%
- Manage order tracking for variables, missing items, signage, and trucks and maintain back-order log for all 3PL items; communicate with Stores as items arrive and are shipped. Schedule final pickups for 3pl and other vendors. 20%
- Coordinate and distribute various reports for all projects and team. 20%
- Support Construction, Facility Projects, and Retail Facilities team by maintaining all departmental communication and documentation through an online project management system and ensuring information is maintained in accordance with requirements.10%
- Maintain catalog of Facility Projects Playbooks, Processes, team roster, PTO log, and all relevant information for on-boarding/off-boarding any team member .10%
- Develop cross-functional project information and reporting for presentations and Ensure accuracy of data, information, and analyses to support strategic goals. Attend, Facilitate, provide presentations and reports for meetings, as assigned. 5%
- Provide back-up support for Construction team for Bidding, Awards, Budgets and Work Authorizations for assigned vendors and projects. Creation of contracts and manage routing approvals for all types of facility projects, including timely follow-up with contractors/vendors to ensure contracts are executed prior to project start date. 5%

The anticipated range for this position is $27.98 – $42.02 per hour depending on location, knowledge, skills, education and experience. In addition, we offer comprehensive and competitive benefits to Associates (and their families) such as early access to pay, medical, dental, vision, life insurance, short-term and long-term disability. Eligible Associates are able to enroll in our company's 401k plan. Associates will accrue paid time off up to 236 hours per year (inclusive of PTO, floating holidays, and paid holidays). Paid sick time up to 80 hours per year unless otherwise required by law.
Requirements
Education and Experience
Preferred 4 Year / Bachelors Degree. Bachelor's Degree preferred/ or 3 - 5 years of related experience.
Years of Experience
3-5 Facilities, Construction, Real Estate, or Retail experience preferred or related experience working with remote teams, schedule management, and document creation and management.
Skills
- Considerable experience with Microsoft Office (Outlook, Excel, Access and PowerPoint skills) and other financial software / systems.
- Experience and comfort working in a fast-paced business environment with ability to consistently meet tight deadlines.
- Self-directed individual able to adapt quickly to changes in priorities and business conditions.
