Description

The Benefits Coordinator provides administrative and clerical support within a highly collaborative environment. This role supports the day to day functions for Benefits department by regularly checking and appropriately dispositioning emails that come into the Benefits email inbox, incoming phone calls, communicating with partnering departments and carriers to ensure a healthy associate experience, and assist with the HFT wellness program and benefit projects.

Duties and Responsibilities

  • Primarily responsible for benefits inbox management (general inbox, 401K inbox, and digital mailbox) as well as inbox process efficiency.
  • Responsible for general benefit inquiries, verification of employment and benefits, as well as triage of escalations.
  • Accurately and communicates information about all benefit programs offered, including eligibility, Qualifying Life Event, CHIPRA, Medical Support Orders, and Dependent Eligibility and documentation requirements. 
  • Responsible for monthly new hire process and communication to Retail, Corp, and DCs. This includes reminders to the department of Associate's who have not yet enrolled or completed an enrollment.
  • Assists Associates enrolling during Open Enrollment; explain benefit options and changes, enrollment process, required documentation for dependent documentation and Evidence of Eligibility.
  • Processes intake and delegation for all Qualified Medical Child Support Orders (QMCSO) for Associates.
  • Advises Associates on eligibility, coverage, and other benefit matters.
  • May assist enrollment audits for both part-time and full-time benefits. 
  • Prepares, reconciles, and audits bills as directed.
  • Work with current Benefit Admin system to ensure all current policies are up to date. 
  • Reviews all qualifying event requests for EBSA, ERISA, and CHIPRA compliance in accordance with internal policy to ensure parity and non-discriminatory practices.
  • Works with the Benefit Specialists on special projects as directed.
  • Works with HR partners to ensure the accurate and timely submission of life insurance claims.
  • Processing of benefit related forms and documents.  
  • Performs other duties as assigned.

The anticipated range for this position is $21.92 – $32.98 per hour depending on location, knowledge, skills, education and experience. In addition, we offer comprehensive and competitive benefits to Associates (and their families) such as early access to pay, medical, dental, vision, life insurance, short-term and long-term disability. Eligible Associates are able to enroll in our company's 401k plan. Associates will accrue paid time off up to 236 hours per year (inclusive of PTO, floating holidays, and paid holidays). Paid sick time up to 80 hours per year unless otherwise required by law.

Requirements

Education and Experience
  • Bachelor's Degree preferred but not required
  • Minimum of 2 years of experience in HR, Benefits and/or Leave of Absence
Skills
  • CA, Retail and/or Multi-state large (5000+ Associates) employer experience preferred
  • COBRA, Cal-COBRA, CHIPRA, PPACA and other applicable legislation
  • Large HR System (e.g., UltiPro, Workday, Lawson, ADP, PeopleSoft, Paychex, and Kronos) experience preferred
  • Strong attention to detail and the ability to stay organized
  • Ability to maintain strict confidentiality
  • Strong computer skills with capability in email, MS Office and related business and communication tools.
  • Proficient with Microsoft Office (Word, PowerPoint, Excel, Outlook) preferred
Physical Requirements
  • Corporate - Remote - General office environment requiring ability to:
    • Stand, walk, sit for extended periods of time .
    • Speak and listen to others in person and over the phone and video conferencing.
    • Use keyboard and read from computer screen and reports.
    • The ability to lift up to 15 lbs.
