Position Summary:

 

The Scheduling Coordinator is responsible for mastery of the Fusion scheduling software (Matrix). A Scheduling Assistant's mission is to ensure the creation and maintenance of student schedules on a daily basis and to maintain communication about schedule changes to parents, teachers, students, and Admin team members.

 

Key Responsibilities Include:

  • Manage the input and upkeep of all student schedules in Matrix.

  • Execute student records requests to prior school(s) for new students.

  • Train teachers on Matrix and ensure they follow policies and procedures for reviewing, locking, and rendering their schedules.

  • Input Not Today's (cancellations) and No Show's (absences) into the schedule.

  • Run reports from Matrix on discretionary staff hours and send to Head of School for review – provide analysis and double check for accuracy.

  • Execute the input of Mastery Sessions.

  • Assist in processing Course Proof of Completion packets and maintain updated planning guides for each student working with the campus Director of Student Development.

  • Execute all schedule changes and adjustments.

  • Create the IROC schedule for teachers and administrators.

  • Run the unrendered sessions report every week and follow up with staff to ensure it is cleared.

  • Run billable hour reports for the Admin team that provide insight into current and upcoming enrollment trends.

  • Input scheduled substitute teachers in Matrix.

  • Other duties as assigned.

Qualifications Required:

  • Effective listening, verbal and written communication are a must.

  • This position requires the ability to keep a level head while working calmly in a fast-paced environment.

  • The candidate must be able to review complex scheduling systems including recognizing availability and conflicts.

  • Expertly skilled in Microsoft Excel (especially pivot tables) and other computer systems.

  • Highly skilled in creating positive relationships with students, parents, teachers, and the community resulting in high customer satisfaction.

  • In addition, the candidate must be highly organized and able to prioritize tasks and be autonomous, problem-solving natured, and self-starting.

Pay Range

USD $25.00 - USD $28.00 /Hr.
