Description

The Edmonton Police Service requires a Operational Support Division Administrative Assistant with excellent organizational and interpersonal skills to provide administrative services to the Divisional Management Team (DMT). Reporting to the Superintendent, this Administrative Assistant will perform the following duties:

  • Develop and lead the creation of electronic tasks for the Operational Support Division OSD tracking system, and electronic filing systems for all projects, initiatives, tasks from the Executive Office (Chief and Deputy Chief, Superintendent, and Inspectors), track implementation of recommendations arising from Operational Reviews and After-Action Reports, and Citizen Concerns from Professional Standards Branch (PSB) for the Division.
  • Organize team meetings, books rooms, and keeping detailed minutes of discussions; and prepare meeting-related documents such as agendas, minutes, reports, and presentations, and arranging any necessary catering or travel arrangements.
  • Manage internal and external correspondence for the Superintendent and six Inspectors within the Operational Support Division.
  • Effectively manage the calendars of the Superintendent and Inspectors of Field Response Branch, Traffic Services Branch and Incident Command & Emergency Management Branch, scheduling meetings and appointments with independent decision-making capabilities.
  • Create and assign Executive Office Tracking Sheets, Superintendent tasks, track implementation of recommendations arising from Operational Reviews and After-Action Reports, and Citizen Concerns from Professional Standards Branch (PSB) for the Division and monitor diary dates and follow up with assigned employees to ensure timely completion and document submission for the tracking sheets.
  • Review received documents to ensure they are complete for inclusion in the database tracking system.
  • Oversee record of receipts and reconciling monthly VISA statements for the Superintendent and Inspectors, flagging any items of concern, and obtaining the appropriate signatures.
  • Prepare expense claims as required for the Superintendent and Inspector's and obtain the required signatures.
  • Performing other related duties as required and the ability to work well with others.
     
Qualifications

  • Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic microcomputer applications
  • A minimum of two (2) years diversified word and information processing experience
  • Proficient in Microsoft Teams, Outlook, Word, Access, PowerPoint, and Adobe Acrobat XI Pro.
  • Knowledge of police programs essential to the position such as CARM, and database platforms for the Operational Support Division and Memorandum of Understanding
  • Data entry experience, with a high degree of accuracy.
  • The ability to work independently with minimal supervision as well as part of a team. 
  • Extensive experience in the creation and maintenance of databases would be an asset.
  • Considerable knowledge of business English, spelling, and arithmetic.
  • Considerable knowledge of modern office practices, procedures, equipment, and ability to adapt to changing office technology.
  • Ability to make decisions in accordance with established policies and procedures.

Hours of Work: 33.75 hours per week. Monday to Friday

Salary Range:  21M, Salary Grade: 006, $26.64 - $33.08 (Hourly), $1,798.20 - $2,233.00 (Bi-Weekly), $46,933.02 - $58,280.45 (Annually). 
The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.
