Description

Do you want to bring your clerical expertise to a team that supports community safety every day?The Administration section of Edmonton Fire Rescue Services (EFRS) is seeking a proactive, detail-oriented Payroll Support Clerk. In this vital role, you will provide comprehensive financial support to our Payroll Unit. If you are a collaborative self-starter who thrives when managing multiple moving parts, we want you on our team!

This position acts as an essential operational hub for the EFRS Payroll Unit, responsible for the accurate and timely processing of payroll transactions for over 1,400 staff. As a key resource, you will conduct daily audits, interpret complex collective agreement articles, and reconcile payroll data with shift records to ensure financial accuracy. You will proactively manage inquiries from staff, supervisors, and disability management consultants, while independently resolving discrepancies and navigating competing operational deadlines. Ultimately, your analytical expertise and attention to detail will ensure that EFRS staff are paid correctly and on time, directly impacting day-to-day operations.

What will you do?

  • Provide processing of all payroll transactions including auditing and processing time entries daily
  • Conduct biweekly audits on all of the payroll transactions and correlate them with operational areas scheduling documentation
  • Adjust hours for all sick, WCB and LTD modified workers and update improper payroll transactions based on audit results
  • Answer daily e-mail and phone calls from the staff, Employee Service Supervisors, Disability Management Consultants (DMCs) and other partners regarding payroll transactions
  • Provide information to DMC for updates regarding sick, LTD, WCB or modified work by e-mail or phone
  • Run Audit Reports, WCB Audit Reports, Vacation Audit Reports, Sick Audit Reports and other related reports to audit operator payroll hours and correct improper payroll transactions
  • Analyze Final Audit Report to verify all personnel are paid correctly and fix any errors
  • Other duties as assigned
Qualifications

  • Completion of Grade 12, including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college
  • A minimum of two (2) years of progressively responsible and diversified experience in general office practices and procedures including assisting in the instruction of less experienced staff and payroll, synthesizing and analyzing data or information processing experience

Assets:

  • Certification by the Canadian Payroll Association as Payroll Compliance Practitioner

Skills required for success:

  • Working knowledge of database and corporate enterprise software tools including Telestaff and PeopleSoft , alongside strong proficiency in Google Suite
  • Proven ability to establish clear tasks and manage expectations while handling multiple concurrent assignments and competing deadlines
  • The capacity to quickly determine project context and applicable procedures even when receiving limited initial details
  • Demonstrated ability to manage sensitive and confidential department information with a high degree of professional discretion
  • Exceptional written and verbal communication skills, with sharp proofreading abilities (accuracy in grammar, punctuation, and spelling)

Conditions of Employment:

  • Hire is dependent on a Criminal Records Check (CRC) that is satisfactory to the City of Edmonton, and there may be a cost associated with this requirement

Work Environment:

  • Due to the nature of this work, this position is not eligible for a hybrid work arrangement
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement, and the incumbent will be notified in advance.
