As the Office Administrator, you are the primary coordinator for clerical and administrative support across all sections of Fort Edmonton Park. Your day-to-day will involve managing a busy reception area, where you will act as a welcoming first point of contact for the public and community partners. Beyond reception, you will be the backbone of our procurement and payment handling procedures, ensuring that financial documents and supply chains move smoothly. You will also serve as a critical link for site safety, acting as a worker representative for the Joint Worksite Health and Safety Committee. By managing the Director's calendar and coordinating complex scheduling, you ensure our leadership team is organized and effective. Ultimately, your work maintains the Park's reputation as a welcoming, inclusive, and well-managed facility.

What will you do?

  • Manage the reception desk, directing visitors, contractors, and tenants to appropriate locations on site
  • Provide high-level administrative support to the Director, including calendar management and drafting formal correspondence
  • Coordinate procurement processes by creating purchase orders in SAP Ariba and reconciling monthly vendor accounts
  • Process invoices and cheque requisitions for payment services and fleet equipment
  • Monitor and maintain office supply inventory and equipment
  • Serve as a worker representative on the Joint Worksite Health and Safety Committee and manage incident reporting data
  • Administer filing systems for document retention and disposition in accordance with records management procedures
  • Respond to and resolve inquiries from 311 and the general public within 24 hours
  • Other related duties as assigned
Qualifications

  • High school diploma and completion of business school courses or a related certificate program from an approved business school or college
  • Minimum of 2 years of related office and administrative experience

Assets:

  • Proficiency in City-specific software including SAP Ariba, Google Suite, Intellex (SDMS), and Remedy
  • Valid First Aid certification
  • Experience in Occupational Health and Safety (OH&S) administration
  • Previous experience working with community partners such as the Fort Edmonton Foundation or various historical societies

  • Strong Communication: Excellent oral and written skills with the ability to interact professionally with staff at all levels and community partners
  • Administrative Excellence: Expertise in word processing, data entry, and basic arithmetic for financial functions
  • Organization and Independence: Ability to manage multiple priorities, meet deadlines, and make independent decisions regarding requests for action
  • Discretion: Ability to handle confidential information with a high degree of judgment and discretion

Conditions of Employment:

  • Must be able to perform physical tasks such as lifting up to 20 lbs frequently and climbing stairs
  • Requirement to wear various forms of Personal Protective Equipment (PPE), including safety footwear, head protection, and skin protection as required
  • Ability to work in an environment with exposure to common allergens such as hay, straw, fur, and pollen
  • Hire is dependent on a Criminal Records Check (CRC) that is satisfactory to the City of Edmonton

Work Environment:

  • Due to the nature of this work, this position is not eligible for a hybrid work arrangement
  • The weekly hours of work for this position are currently under review and may change at a future time in accordance with the collective agreement
  • This role works primarily in an indoor setting but requires frequent movement across the Park's 5 administration locations
  • This is a public-facing role requiring interaction with diverse people from various backgrounds
