Do you have an eye for detail? This role within the City of Edmonton Archives offers a unique opportunity to combine clerical and administrative skills with a passion for preserving history. This multifaceted position encompasses a wide range of responsibilities, including managing reception, coordinating schedules, and assisting with procurement and payment handling. You will be an essential support to the City of Edmonton and will play a key role in maintaining and promoting the City's rich historical heritage.

What will you do?

  • Oversee and cover reception desk including intercom for access to the Archives and Prince of Wales Armouries Heritage Centre for visitors and tenants
  • Using Point of Sale technology, process client purchases (manage payments processes) for Archives reproductions (payment cards only)
  • Follow the appropriate policies and procedures set out by Finance for payment processing, etc.
  • Balance and submit accounts for both end of day and end of Month for the Archives - reviewed by Manager prior to submission to Finance
  • Coordinate various schedules including working with Clerk I for coverage and other duties
  • Greet visitors to the Archives
  • Pick up and sort mail (internal and Canada Post) every day
  • Liaise with trades
  • Keep brochure rack stocked and organized
  • Manage Community Information board
  • Assist Archivists and EHB with mail outs and pick ups
  • Assist with social media and on-line presence
  • Coordinate vendors (vending machine, bottle recycling collection) in POWA
  • Order new office supplies when requested or when supplies are reduced
  • Maintain RIMs Inventory of POWA / Archives and Artifact Centre equipment
  • Conduct staff/tenant orientations to building
Qualifications

  • Completion of the twelfth (12th) school grade including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college

  • A minimum of two (2) year's diversified experience in general office practices and procedures including assisting in the instruction of less experienced staff

Assets:

  • Business school courses/certificates

  • Social media skills - including web page editing/publishing, Facebook, Instagram, Twitter

  • Proficiency in the following software and applications - Word, Yellow Pencil, Intellex (SDMS)

     

     

    Skills required for success:

     

     

  • Experience with INOVAH and RAMS/Intelli for payment handling

  • Word processing, data entry and associated clerical skills for office functions, practices and procedures - including arithmetic and statistics management

  • Experience scheduling meetings, events, appointments

  • Excellent oral and written communications abilities

  • Ability to create reports, analysis, statements and documents

  • Basic filing/ records management knowledge

  • Basic office equipment operations

  • Proficiency in the following software and applications - SAP Ariba, Google Suite, - Remedy (OCT / Inside Information)

Hours of work: 40 hours per week

The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.

Salary: $24.441 - $30.346 (Hourly); $51, 032.810 - $63,362.45 (Annually)
