LEGAL ASSISTANT III WHAT IS THE OPPORTUNITY? Performs secretarial, administrative, and clerical assignments in support of the legal staff. Acts as an information source on bank policies and procedures, gathers, compiles, and reports information relevant to assignments. Prepares documentation for legal matters such as loans and litigation-related documents, prepares internal/external correspondence, and assists with word processing and corporate contracts and other legal documentation; maintains attorney calendars and schedules meetings as needed. WHAT WILL YOU DO?

  • Compose and prepare transmittal correspondence, forms, engagement letters, demands, agreements, contracts, documents, pleadings, etc. from a variety of sources, i.e., internal bank records, department databases, handwritten notes, etc. Edit and proofread to ensure final materials are complete and correct and with all appropriate revisions made. Ensure documents and correspondence conform to established guidelines pertaining to format, grammar, and style. Review and answer general incoming correspondence, sometimes on own initiative and as directed by attorneys.
  • Ability to use Microsoft Office (Word, Excel, PowerPoint) to create word documents, spreadsheets and presentations.
  • Create and update files in electronic filing systems; sets up new matters in billing database (i.e., Legal Tracker); monitor, review, and confirm compliance with billing policies for electronic bills, and provides general support on electronic billing program.
  • Establish, update and maintain case matter, subject, customer, chronological and document files and indexes. Responsible for proper management and confidential maintenance of office files and records to ensure efficient accessibility/usage/retention and confidentiality. Willingness to learn and use new procedures and technology used by the bank and the department (such as e-filing system, new operating systems and new word processing software).
  • Prepare correspondence (both internal and external communication). Responsible for accuracy, proper form, syntax, grammar and appearance of all written materials.
  • Maintain assigned attorney's calendar. Schedule and make arrangements for, videoconferences, meetings, appointments, travel plans, and court dates for attorneys. Prepare and submit attorney cost reimbursements. Maintains attorney's MCLE records and monitors compliance deadlines. Maintain attorney's files on their professional organizations.
  • Interact with outside counsel, opposing counsel, court clerks, court reporters, witnesses, government agencies, and others to obtain information, set hearings, continuances or appointments; vendors, and others to answer inquiries, etc. with professional demeanor and in conformance with bank policies.
  • Initiate and receive telephone calls for assigned attorneys. Answer and direct incoming calls, relay messages and place calls as needed.
  • Comply fully with all bank policies and procedures as well as all regulatory requirements (e.g. Bank Secrecy Act, Know Your Client, Community Reinvestment Act, Fair Lending Practices, Code of Conduct, etc.).
  • Complete all special projects as requested.
  • ADDITIONAL RESPONSIBILITIES FOR LEGAL ASSISTANT (LITIGATION)Prepare/draft court pleadings and forms; maintain litigation calendar, including tracking hearing and court dates; coordinate with court service on court filings and service of process; prepare court documents (including motions) for filing; electronically file court documents in State and Federal courts; locate and pull dockets and documents from public court records; knowledge of PACER and familiarity with electronic court filing process and rules is necessary.
WHAT DO YOU NEED TO SUCCEED? Required Qualifications*
  • H.S. Diploma
  • Six years working in a legal environment
  • Six years working with Microsoft Office (Word, Excel, PowerPoint)
Additional Qualifications
  • Associates or Bachelor's degree preferred
