Position Summary  

The Program Coordinator works under general direction and reports to the Division Operations Director. This position plays an integral role in the day-to-day office/administrative coordination of the School of Business & Technology Division, providing administrative support to the Dean and Division Operations Director. This position is one of the first contact points for students, faculty, staff, and community members at the front desk, serving as the primary information resource about admission, registration, advising, and college policies and procedures. The position is expected to provide exceptional customer service in assisting students, faculty, and the public while maintaining appropriate confidentiality.

The position involves a broad scope of duties and responsibilities in coordinating programs in the division. The role requires attention to detail, punctuality, reliability, dependability, flexibility, and collaboration. This position aligns with and contributes to the organization's mission and goals by providing administrative support in creating an environment that supports student success. The selected applicant will be required to work on campus at least three to four (3-4) days per week. This is subject to change based on the needs of the department.
 

Pay, Benefits & Work Schedule  

Position Salary Range: $42,540/year - $56,664/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the Department  

The School of Business & Technology at Bellevue College is a dynamic and innovative academic department that offers a range of programs designed to prepare students for careers in business and information technology. The mission is to provide quality education and training that prepares students to be successful in a rapidly changing and globally competitive business environment. The School of Business & Technology's faculty is comprised of experienced professionals and educators who bring real-world expertise to the classroom. The department is committed to providing students with hands-on learning opportunities, such as internships, research projects, and service learning projects.

Essential Functions  

Provide administrative and clerical support 

  • Provide administrative support to the division leadership; coordinates office operations; maintain calendars;
  • Maintain Division SharePoint sites and MS Teams while maintaining accurate and secure electronic record-keeping systems in SharePoint, MS Teams, and other external cloud-based business applications;
  • Handle confidential documents, information, and projects with discretion and following college and FERPA guidelines;
  • Reserve conference rooms, classrooms or campus facilities per requests;
  • Update and maintain the Division organizational chart, contact list;
  • Monitor faculty/staff equipment such as Owl cameras, Wacom tablets checkouts and maintain a division inventory list of college-issued devices;
  • Assist in planning and coordination of Divisional events while following campus procedures to organize events/meetings;
  • Assist in onboarding new faculty and employees; initiate requests and service tickets as needed for setting up a new workstation, ordering supplies, business cards, equipment, technology, phone extension, scan card/keys, and mailbox space;
  • Manage workspaces for faculty and staff and provide them with necessary ITS/Technology support;
  • Assist faculty to fill out Expense reports and Travel Authorizations in the finance system.
  • Prepare keycode requests for faculty teaching in computer lab rooms. 
  • Run quarterly enrollment reports.  


Provides service to students, staff, faculty, and program participants and/or the public

  • Serve as the primary contact in the School of Business & Technology reception area, receiving and referring visitors as well as responding to phone calls, email inquiries and Microsoft (MS) Teams; 
  • Provide information to students, staff, program participants, and/or the public regarding program offerings, course schedules, course prerequisites, and related policies and procedures;
  • Refer students to respective programs and help them navigate college services to find appropriate resources;
  • Identify issues, provide options, fulfill services, and/or exercise knowledge of college procedures and policies to assist others and resolve complaints or conflicts. Refer unresolved issues to the Dean, Assistant Dean, and the Division Operations Director as appropriate;
  • Request and upload all Division course syllabi quarterly
  • Create quarterly faculty office-hour list and maintain faculty office location list;
  • Assist faculty to locate and navigate college and division resources and services;
  • Notify students of class cancellations as needed, posting a cancellation note to a classroom. 
  • Generate and provide guest parking permits to guest speakers, applicants and visitors.
  • Coordinate and collaborate with other college departments such as Campus Operations, HR, Student Affairs, Food Services and IT. 

Provide day-to-day office operational support

  • Organize and distribute outgoing items for pick-up by visitors at the front desk;
  • Perform regular organization of the front desk, common areas, and other division office spaces identifying and reporting concerns;
  • Open, close, and/or maintain division front office, mail room, copy/kitchen room, and conference room; report any cleaning or maintenance issues to custodial through online request center;
  • Distribute mail and maintain office equipment including workroom copy machine and printers;
  • Pick up or delivery of print jobs or equipment. 
  • Receive and maintain inventory of office supplies.

  • Perform other duties as assigned
Minimum Qualifications  
  • High school graduation or equivalent and two (2) years of clerical, bookkeeping, or general administrative work in an office setting. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis
  • Proficient experience with Microsoft Office 365 applications (Outlook, Excel, Word, Teams, OneNote)
  • Effective written, verbal, and interpersonal communication skills
  • Demonstrated experience working effectively in a fast-paced environment
  • Demonstrated ability to work with diverse colleagues and students in an inclusive environment
  • Demonstrated experience anticipating office needs and initiating routine tasks, working independently and collaboratively with effective time management skills
Preferred Qualifications  
  • Associate's Degree
  • Work experience in higher education
  • Experience with SharePoint
  • Experience working with WordPress
  • Experience working with People Soft, ctcLink, or similar systems
