Position Summary
The Development Coordinator is responsible for managing and safeguarding all fundraising and donor data for the Bellevue College Foundation and KBCS. This role oversees the accurate and timely entry of all donations, including cash, pledges, and in¿kind contributions, into the CRM, ensuring proper coding, documentation, and daily, monthly, and periodic gift reconciliation. The coordinator maintains data quality and system integrity through ongoing auditing, data cleanup, imports, exports, and regular CRM maintenance, serving as the primary point of contact with database consultants for system support and improvements.
In addition, the position manages sponsorship invoicing and pledge reminders, ensures all gift documentation and development procedures are current and properly maintained, and supports accounting through reconciliation, audits, and tax¿related documentation tied to CRM transactions. By ensuring data is consistently accurate, complete, and well¿organized, the Development Coordinator enables staff to produce reliable reports, evaluate fundraising activity, and make informed strategic decisions.
Pay, Benefits & Work SchedulePosition Salary Range: $59,795/year - $83,713/year
The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Typically, new hires start no higher than $65,775/year based on Bellevue College Exempt salary schedule.

The employee is scheduled to work 40 hours per workweek. This position may be eligible for overtime under the overtime provisions of the Fair Labor Standards Act. Positions with salaries below the WA State Salary Threshold is eligible for overtime pay.

About the DepartmentInstitutional Advancement (IA) is the external facing division of Bellevue College which includes marketing, web editing, KBCS radio station, public relations, creative services and the Bellevue College Foundation. The Bellevue College Foundation (BCF) is a nonprofit organization dedicated to supporting Bellevue College and its students. Its mission is to foster educational excellence and student success by generating financial resources, building community partnerships, and facilitating access to quality education. The foundation provides scholarships, funds innovative programs, and supports faculty and staff development to enhance academic experience. It works closely with donors, alumni, businesses, and community members to create opportunities for students and help them achieve their educational and career goals. Essential FunctionsGift Processing
- Enter all data related to donations (cash, pledges and in-kind contributions) into Raisers Edge CRM (RE) and apply the fund, appeal, campaign, package, and attribute codes for each record in an accurate and timely manner.
- Complete gift reconciliation through daily, monthly, and as needed periods to ensure that all gifts are received and recorded correctly into RE.
- Use online tools and partner websites to accurately track and process donations that come to the Foundation from a variety of sources.
- Manage the pledge and sponsorship Invoicing and reminder process.
- Support BCF accounting with donation reports and documentation for audit, IRS 990, and financial report questions and reconciliations.
- Generate and provide fundraising & donation reports to Foundation staff, Board of Directors, board committees and campus partners.
Database & Data Management
- Ensure that all appropriate gift documentation is filed and maintained.
- Manage the creation, review, and maintenance of all Development related Procedure and Process Documents.
- Maintain data integrity and conduct data clean-up in Raisers Edge.
- Utilize RE and RE NXT as well as other data tools to create and run, one-time, and recurring, lists, reports and dashboards for analysis purposes and to inform strategic activity.
- Manage data imports and exports into and out of RE, including working with import software to perform data transfer and updates.
- Serve as the primary day to day contact with database consultants while performing CRM maintenance and process improvements.
Donor Stewardship
- Manage the donor acknowledgement/thank you process including timely and effective communication to donors, supporters, and friends of the Foundation (including KBCS) to deepen their relationship with the Foundation, KBCS and College.
- Support Stewardship through creating and sending out new donor welcome packets, record stewardship communications on behalf of fundraisers, and perform other stewardship tasks as needed.
- Provide customer service to prospects, donors, board members, and other stakeholders, by being the first point of contact when they enter the suite or when answering the departmental phone as a back-up for reception and when sending out email communications as instructed by supervisor regarding general communication.
- Responsible for appropriately stewarding all in-kind donations, through gift tracking, gift acknowledgment and performing any necessary follow up with donors and benefiting college programs and departments to ensure that the in-kind gift is recorded correctly.
- Support the Foundation Events Team by appropriately stewarding sponsorships and other event related donations by recording and tracking transactions in our CRM and other event management software Like Greatergiving.
Other Unit Support
- Support the division and advancement activities and provide administrative coverage during IA and Foundation member absences.
- Perform other duties as assigned.
- Associate degree in a related field. Relevant work experience may be substituted on a year for year basis.
- At least two (2) years of experience working with databases in gift processing, customer service, accounting, and/or bookkeeping.
- Moderate to advanced proficiency with Microsoft Office Suite, especially Excel and Word, and familiarity with current Windows operating systems.
- Knowledge of non-profit CRMs.
- Ability to work efficiently with digital documents, electronic workflows, spreadsheets, and donor records.
- Demonstrated effective organizational skills, including managing multiple tasks, deadlines, and documentation requirements.
- Proven ability to follow established procedures, workflows, and step-by-step instructions with accuracy.
- High attention to detail, with the ability to review and verify donor documentation, confirm donor intent, and ensure each gift record is complete prior to processing.
- Ability to track multi-step or delayed gifts (e.g., awaiting deposit, pending documentation) to completion without missing deadlines.
- Demonstrated follow-through skills in gathering missing information, resolving discrepancies, and coordinating with internal partners as needed.
- Ability to research donor intent, review supporting documents, and cross-reference historical records when required for proper gift allocation.
- Skill in identifying issues or inconsistencies and taking proactive steps to resolve them before finalizing tasks.
- Effective communication skills in both written and verbal form, including clarity, and timely responses.
- Demonstrated interpersonal skills and the ability to collaborate with colleagues in other departments.
- Demonstrated ability to work independently with minimal supervision, as well as part of a team environment.
- Demonstrated ability to maintain strict confidentiality with sensitive information.
- Understanding of and commitment to ethical fundraising standards and donor stewardship practices.
Effective customer service skills. - Ability to occasionally work mornings, evenings, or weekends to support departmental and special event needs.
- Bachelor¿s degree.
- Demonstrated understanding of, and alignment with, the value of higher education and the organization¿s mission, vision, and core values.
- Work experience in non-profit fundraising or development.
- Experience working with Black Baud Raiser¿s Edge/RE NXT.
- Experience entering and maintaining data in CRM systems, ensuring compliance with data hygiene and documentation standards.
