Position Summary  

The Admissions Program Specialist 2 works in Enrollment Services and supports the mission of Bellevue College by providing high quality, flexible and accessible services, which support student access to educational opportunities. This position works under general supervision and reports to the Associate Director of Enrollment Services. This position independently collaborates with students and other staff to resolve complex issues and difficulties across all areas within Enrollment Services. Essential to this position is the ability to understand processes of admissions, registration, enrollment, and student records in both the current ctcLink (PeopleSoft) system and the legacy information system (HP).

The Admissions Program Specialist 2 provides specialized information to students and staff outside of Enrollment Services.  In addition to specialized information, a key function of this position is to provide technical assistance with the admissions application process, and functions related to registering for classes. The nature of the work is professional and requires an ability to interpret and work in accordance with federal, state and college rules, and policies.

Pay, Benefits & Work Schedule  

Position Salary Range: $45,900/year - $61,296/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the Department  

The Enrollment Services Office is one of four departments that make up Student Central. Student Central is a single service area for departments identified as Enrollment Services, Evaluations and Graduation, Placement and Testing Services, and Financial Aid. The Enrollment Services Office houses the following programs, and has campus-wide responsibility related to these areas: Records and Grades, Washington State Residency, Admission to the College, and all Registration processes. These programs are distinct in areas related to Washington State law, regulations and reporting requirements.

Essential Functions  

Perform, organize, and coordinate admissions processing 

  • Process admissions applications in an accurate, timely and compliant manner to verify eligibility for admission to Bellevue College. 
  • Properly code and maintain applicant and student data in the college's Student Information System (PeopleSoft).
  • Identify admissions applications with inconsistencies or potential fraudulent indicators.
  • Request, collect, and review necessary documentation and manage identity verification interviews to resolve potential fraudulent cases.
  • Provide guidance to prospective students on required steps to complete admissions process. Ensure that appropriate and timely follow-up is made with applicants as they move through the enrollment process.
  • Verify residency status in accordance with state and federal law requirements; be knowledgeable and advise students of required supporting documents and assign appropriate codes for tuition purposes.
  • Troubleshoot basic admissions and enrollment issues; escalate complex cases to the Program Specialist 3 Admissions Lead or Director as needed.
  • Protect confidential student information in accordance with FERPA and institutional policies.
  • Perform quality control functions for records involving timely running of reports, reviewing, and analyzing outputs and correcting and updating related data fields in the college's Student Information System (PeopleSoft).
  • Contribute to improving workflows, customer service practices, and communication materials to enhance the student admissions experience.
  • Interpret, articulate, and implement a variety of regulations, policies and procedures pertaining to admissions to ensure compliance with Bellevue College, state and federal requirements.
  • Attend Enrollment Services and Student Affairs Division meetings to remain current on processes, procedures, and campus initiatives and concerns. Represent Enrollment Services at campus-wide, student-facing events that support enrollment and engagement such as Discovery Day.

Provide direct services and information and assistance to students and guests 

  • Create a welcoming environment for the diverse community that reflects Bellevue College.
  • Provide effective direct service to students and other visitors at the front counter, on the phone, using email, and the online ticketing system (Target X).
  • Communicate rules and practices governing confidentiality laws such as FERPA.
  • Provide information about processes and requirements for all Enrollment Management departments, updates, directions, and regulations.
  • Provide problem resolution for students experiencing difficulties and make appropriate referrals for students needing additional support from departments such as Academic Advising, Counseling, Disability Resource Center (DRC), Multicultural Services (MCS), TRIO, Veteran's Services and Workforce Education.
  • Direct students to take appropriate courses of action based on student specific situations.
  • Collaborate effectively with campus departments, staff, faculty, and administrators, and utilize forward-thinking methods to address and resolve complex issues/concerns. Interpret and apply college, state, and federal policies and regulations.
  • Collaborate with leadership (Dean, Directors, and Associate Directors) to resolve complex situations that require exceptions to policies and procedures.
  • Assist leadership in the development of processes and activities needed to effectively serve the students and other visitors accessing the unique programs and services.
  • Confer regularly with staff regarding the interpretation and implementation of program policies and participate in establishing service standards and identify areas for development.
  • Perform other duties as assigned.
Minimum Qualifications  
  • Associate degree. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis
  • Two (2) or more years' full-time experience, or equivalent part-time experience, working in an Enrollment office or related office in higher education setting
  • Two (2) or more years' experience working in accordance with policies, procedures and federal and state regulations
  • One (1) year demonstrated experience working in a customer service setting with the public both on the phone and in-person
  • Experience working in a collaborative team environment with diverse employees and student/customer groups
  • Demonstrated ability to consistently monitor and audit own work to find and correct errors 
  • Demonstrated ability to perform intermediate functions utilizing Microsoft Word, Excel, Outlook, and Teams. Ability to use a computer for word processing, data entry, web activities, and written communication
  • Effective verbal and written communication skills. Ability to communicate effectively through spoken, written, and electronic processes, including with those for whom English as a second language.
  • Demonstrated experience in resolving customer service issues. 
  • Demonstrated ability to build and maintain customer and external partner satisfaction 
  • Ability to problem-solve and identify solutions to potentially challenging situations.
  • Open to feedback/constructive criticism, development, and continual learning and display an ongoing commitment to learning and self-improvement.

  • Experience with PeopleSoft
