Role Overview

We are seeking an exceptional Senior Executive Assistant to the CEO to serve as a trusted partner in the CEO's Office. This role is responsible for ensuring the CEO's time, attention, and daily operating rhythm are focused on the company's highest priorities.

 

This is a high-trust role that requires strong judgment, discretion, and the ability to manage complexity in a fast-moving environment. The successful candidate will anticipate needs, coordinate across multiple stakeholders, and ensure the CEO is well prepared, well informed, and able to operate effectively.

 

This role is part of the CEO Office team, which works together to support the CEO. The office includes the Chief of Staff, Head of Business Operations, and executive assistant support, with each role contributing to a well-coordinated executive operating environment.

 

The Senior Executive Assistant serves as the primary steward of the CEO's calendar, logistics, and executive flow, working closely with the broader CEO Office team to ensure strong coordination across priorities and commitments.

 

This role is best suited for someone who thrives in a fast-moving environment where priorities shift frequently and thoughtful judgment is required to balance competing demands.

The CEO's time is one of the company's most important resources. This role helps ensure that time is used effectively by bringing structure, coordination, and clarity to the CEO's schedule, commitments, and daily operating flow.

 

By helping the CEO stay focused on the company's most important priorities, this role contributes directly to the effectiveness of the leadership team and the organization as a whole.

The CEO Office Team

 

The CEO is supported by a small, collaborative CEO Office team that works together to ensure effective leadership coordination and execution.

 

The team includes:

  1. Chief of Staff – supports strategic priorities, leadership coordination, and follow-through on key initiatives
  2. Head of Business Operations – manages business cadence, operating reviews, and execution mechanisms across the company
  3. Senior Executive Assistant to the CEO – leads stewardship of the CEO's calendar, logistics, and daily operating flow
  4. Executive Assistant support – provides backup coverage and administrative support to help ensure smooth execution and continuity

 

Within this structure, the Senior Executive Assistant owns the CEO's calendar and executive logistics, while working closely with the CEO Office team to ensure priorities and commitments are coordinated effectively.

 

Key Responsibilities

 

CEO Calendar and Time Management

  1. Lead stewardship of the CEO's complex calendar, ensuring the CEO's time aligns with company priorities
  2. Prioritize meeting requests based on company priorities, stakeholder needs, and leadership cadence
  3. Ensure appropriate preparation time, travel transitions, and space for focused work
  4. Anticipate scheduling conflicts and competing priorities before they arise

Executive Support and Preparation

  1. Coordinate meeting logistics, materials, and scheduling to ensure the CEO is prepared for key engagements
  2. Help ensure the CEO has appropriate context for important meetings, events, and external interactions
  3. Track action items and support follow-up with internal partners when appropriate

Travel and Logistics

  1. Manage detailed domestic and international travel planning, including itineraries and meeting coordination
  2. Integrate travel, business commitments, and personal obligations into a cohesive schedule
  3. Support logistics for leadership meetings, major events, and external engagements

Coordination Across the CEO Office

  1. Partner closely with the Chief of Staff to ensure the CEO's calendar reflects strategic priorities
  2. Coordinate with the Head of Business Operations on scheduling related to operating reviews and company rhythms
  3. Work collaboratively with executive assistant support and partners across the organization
  4. Help ensure smooth coordination across the CEO's meetings, commitments, and priorities

Workflow and Process Improvement

  1. Identify opportunities to improve workflows and processes supporting the CEO's office
  2. Use modern productivity tools, including AI where appropriate, to improve organization and efficiency
  3. Build lightweight systems that make executive support more consistent and scalable

Qualifications

  1. Significant experience supporting a CEO, founder, president, or senior executives
  2. Demonstrated success managing complex calendars and competing priorities
  3. Excellent organizational, communication, and problem-solving skills
  4. Strong judgment and ability to operate with discretion and confidentiality
  5. Ability to remain calm and effective in a fast-paced environment
  6. Experience working with senior leadership teams and cross-functional stakeholders
  7. Comfort using modern productivity tools and AI to improve workflows

Preferred Experience

  1. Experience supporting a CEO in a high-growth or complex organization
  2. Familiarity with executive travel, leadership meetings, and major external engagements
  3. Experience working alongside a Chief of Staff or operations leadership
