Under moderate supervision, the Fee Administration Specialist is responsible for ensuring that plan fee invoicing, deduction, and collection functions, as well as commission reporting and calculation, are executed in an accurate and timely manner for all clients. This position will work closely with internal departments to ensure funds are deducted in accordance with the respective fee agreements and properly booked to company accounts. The Fee Administration Specialist will also be responsible for ensuring the commission rules are complete and up to date in the CSC Workbench. In addition, will serve as a resource to other staff members in providing answers to complex billing and commission questions.
Executes client-specific plan fee invoices, sweeps, deductions, collection activities, SYSFEE jobs, and fund movement in a timely and accurate manner, in accordance with respective fee agreements. The invoicing cycle can be “on demand”, monthly, quarterly, and annual, and includes such functions as: overseeing data feeds, quality control, overseeing output, and summary reporting.
Works closely with Control on ensuring proper money movement for fee deductions.
Executes client-specific commission queries on the CSC Workbench. These commission-related requests can be “on demand”, as well as monthly, and will include functions such as: overseeing data feeds from the CSC Workbench, as well as output and summary reporting.
Works closely with the Finance and Accounts Receivable areas to share fee schedule information and monitor/execute past due tracking and collection activity. In addition, responsible for maintaining the fee billing system, which includes: performing maintenance when necessary to reflect the most current fee agreements and contracts, generating various reports to determine the need for any reconciliation activity.
Maintains the CSC Workbench, which includes: performing maintenance when necessary to reflect the most current plan and version options, as well as generating reports as needed for commission reconciliation efforts.
Serves as an ongoing information source for internal and external customer operating areas in moderately complex matters related to commission payment calculations, plan level billing agreements, invoicing, and forecasting the impact of critical dates on service levels, escalating issues to management as necessary. Where applicable, may be called upon to participate on project teams.
Applies system functionality where possible to: develop control procedures for reviewing invoices and validating data, standardize invoice practices across product lines, and schedule the timely execution of fee jobs.
Pro-actively seeks out opportunities for procedural and efficiency enhancements, ensuring compliance with applicable policies and regulations.
Strong working knowledge of retirement plan and defined contribution products, clients, and functional areas.
Strong working knowledge of DST TRAC and TA2000 systems and their reporting capabilities preferred.
General knowledge of finance/business software systems such as Excel (must be able to do pivot tables & Vlookup,) Word, Access and billing or Accounts Receivable processing packages.
Knowledge of customer service and financial services industry principles.
Self-motivated and self-directed.
Ability to communicate clearly, concisely, and effectively, both verbally and in writing, in order to explain billing information to internal and external customers; Employs active listening skills to asks probative questions that will yield needed information; Employs tact, and confidence when discussing potentially sensitive matters.
Strong organizational skills; attention to detail; and interpretative skills to ensure billing agreements are followed.
Ability to prioritize and maintain focus in a potentially fast-paced, deadline-driven environment.
Strong analytical and research skills to reconcile information, determines root causes of errors, makes fact-based decisions, and makes recommendations for policy, procedure, and efficiency enhancements as appropriate.
Solid customer service and interpersonal skills.
Strong follow-through skills and ability to ensure deadlines are met in accordance with internal and external policies, procedures, and service level agreements.
2-3 years prior experience required, including experience in a combination of the following functions: defined contribution plan administration, billing, accounting, customer service.
Bachelor's degree preferred, though an equivalent combination of formal education and related work experience is acceptable.
